Summary:
The production department administrator will be responsible for assisting the overall production department operations in an organized and detailed manner in conjunction with the production manager. The administrator will focus on scheduling service calls, processing of new job folders, processing completed job folders, coordinating and managing the production crew schedule, billing, time entry, material entry, filing, and processing various weekly & monthly reports per established guidelines. Other responsibilities include handling all customer interaction from the office pertaining to contract jobs, service tickets, committing labor and materials to the appropriate jobs, scheduling all subcontractors, scheduling appointments for foremen, assisting foreman with paperwork as needed, and working well in a team environment.
Prerequisites:
· Strong Computer skills - demonstrate proficiency in Microsoft Office, 365, Teams
· Appropriate managerial experience
· Strong leadership skills
· Strong communication and English Language skills (speaking & writing)
· Ability to make decisions
· Foresight to avoid problems before they occur
· Attend continuing education training sessions and conferences
· Answering phones, texts, e-mails, and contacting customers as needed
· Committing materials and labor to contract jobs and service tickets
· Creating and processing work orders, job folders, and time and material sheets
· Managing all aspects of the FB Mobile App
· Prepare general correspondence letters to customers
· E-mailing, Scanning, Filing and Organizing
· Plan field manpower and equipment schedule on a daily basis
· Coordinate and maintain the Monthly Production Scheduling Board & Microsoft Project Schedule
· Keep warehouse staff abreast of any schedule changes
· Assure all customers are notified when their schedule date changes
· Manage foreman communications with the customers
· Assist foremen in specifications writing, pricing, and preparation of change orders and work order contracts
· Process all job and service ticket invoicing
· Manage and coordinate the prompt collection of payments
· Manage any warranty claims

Pay: $22.00 - $30.00 per hour
