Join Our Team!We have an immediate need for an Operations Manager to join our team at our Corporate Office located in Troy, NY. This is a full-time role reporting to the Director of Operations.
Key ResponsibilitiesThe responsibilities that are listed below are not all inclusive; however, they are indicative of the type of responsibilities normally performed by the Operations Manager:
Meetings, Conferences, And Travel
  • Oversees the Management Department’s calendars; schedules meetings, conferences, and requested travel for the Department as needed.
  • Manages business related expense reimbursements for Director of Operations and Chief Operating Officer, as needed.
  • Manages conference registrations, related travel, and communication between participants.
  • Responsible for taking Management Meeting notes and following up on open action items.
Special Projects Event Planning
  • Responsible for special projects, as needed and assigned
  • Reviews and obtains bids and quotes for budgets of special projects as needed Manages the planning process, collaboration, and execution of the annual Managers' Retreat in collaboration with the Director of Operations. As lead to the coordination, engages others to thoughtfully prepare programming and events to meet the organizations business needs.
Reporting Technology:
  • Fluent in and fully understands the Company’s operating system’s reporting and able to generate required reports for analytics within Management Operations.
  • Oversees New Development and Takeover Checklists with assigned Management team members.
  • Manages KPI and any system-generated reports to Regional Managers and Executive teams on requested tracking timelines.
  • Monitors KPI reports and indicates to Regional Managers and Executive teams when performances fall below designated thresholds.
  • Collaborates with Director of Operations on assigned new development reports using Claritas. Works directly with Director of Operations and System Operation Specialists on the organization and implementation of this platform and its use throughout the Management Company.
Management
  • Supports Management Department to assist with owners' goals and ensuring that objectives are aligned with property operations
  • Manages the "Best Practice Platform" to ensure compliance with rules, regulations, and procedures
Management Agreements Process:
  • Collaborates with Director of Operations on redlining and organizing of New Business Management Agreements, as assigned.
  • Collaborates with Vice President of Asset Management for monitoring and collaborating with Property Accountants on incentive thresholds written in management agreement
Vendor Contracts
  • Manages the Company's preferred vendors and continues to build vendor relationships
  • Provides training to new Property Managers and/or new properties that are opening up on the vendor contract execution and set up
  • Monitors Corporate vendor contracts expirations and renewals
Staff Organization & Management
  • Reviews and recommends changes to the President CEO necessary to the operations of the division to ensure optimal effectiveness
  • Recommendations to structure will be reflected accordingly on the Company’s organizational charts; this may require new hiring initiatives and restructuring job duties and responsibilities
Marketing
  • Assists Marketing and Lifestyle teams with marketing and retention event planning at properties, as needed.
  • Assists Field Marketing team with the coordination of marketing material proof edits, approvals, and submission to vendors.
  • Assists Site Teams with managing levels of marketing collateral and promotional items at Sites (i.e. brochures, social media like cards, folders, move-in gifts).
  • Performs monthly audit of Site websites and online listings for accuracy and functionality; including audit of Site-specific phone numbers.
  • Performs monthly audit of collateral for accurate Property information.
Human Resources Administration
  • Collaborates with Human Resources regarding training needs, requirements, and ensures training expectations as required are achieved, i.e. United University, Grace Hill, annual compliance trainings, etc.
Job Overview Qualifications
  • Job Type: Operations Manager; $60K - $70K salary (determined based upon level of experience/qualifications)
  • Professional designations, i.e. Certified Professional Manager (CPM), Accredited Residential Manager (ARM), or equivalent industry designation preferred:
    • Minimum of 3 years administrative experience and 2 years property management experience.
    • Experience with P&L Statements and Budgeting preferred.
    • Exceptional communication, sales, negotiation and leadership skills.
    • Ability to solve problems and managing effective solutions.
    • Detail and systematic with creating and maintaining information.
    • Professional presentation to be compatible with the established guidelines of the organization and as defined within the Employee Handbook.
    • Ability to conduct business with an enthusiasm, assertiveness, and have the ability to serve as a role model for subordinates including a positive attitude and professional decorum.
    • Proficient with Microsoft Suite, including Excel and Power Point required.
    • Ability to travel and work outside of regular working hours required from time to time to meet the needs of the business.
    • Experience with Entrata or similar property / accounting management systems preferred.
    • Ability to manage on-going programs and projects to ensure goals, objectives, and established deadlines are achieved.
    • Demonstrates integrity on a personal and professional level and has the ability to be discreet and confidential with sensitive, confidential, and proprietary information.
    • Ability to solve problems, identify solutions, and ensure positive sustainable outcomes.
