MBF Program Assistant

Status: Full-time, exempt, flexible work schedule

Location: Boston office, hybrid remote

Background:

Founded in 1964, the Massachusetts Bar Foundation (MBF) is the philanthropic partner of the Massachusetts Bar Association. Through its grantmaking and charitable activities, the MBF works to increase access to justice for all in Massachusetts and to support programs that improve the administration of justice across the Commonwealth. Last year, the MBF awarded $3.5 million in grants to support initiatives that provide critical legal aid to low-income individuals and families, improve the administration of justice, promote careers in public interest law, and introduce young people to career opportunities within the legal system.

Position Overview:

The MBF seeks an enthusiastic and energetic individual to join its small team. The ideal candidate will be somebody who wants to learn and grow in the nonprofit or philanthropic sector, while helping to strengthen an organization dedicated to supporting equal access to justice in Massachusetts. The Program Assistant provides critical programmatic and administrative support to the Foundation’s core activities, including grantmaking, fundraising, communications, and events.

Job Responsibilities:

Grantmaking

  • Assist in the grant application review process: process applications, prepare materials for review, provide logistical support to grant committees, attend meetings as requested, and perform data entry tasks.
  • Assist in the administration of MBF’s law student fellowship and scholarship programs.
  • Participate in periodic site visits with grantees and fellowship recipients to gain deeper knowledge about grantee activities, specific topic areas, and communities they serve.

Fundraising and Donor Engagement

  • Assist with processing donations, billing, and contribution acknowledgements.
  • Effectively enter donation data and maintain accurate records in the database, prepare reports, and analyze trends in giving and participation.
  • Manage periodic database contact information updates to ensure data integrity.
  • Engage donors through professional interactions online and in person.

Communications and Public Relations

  • Assist in the preparation of various communications, including monthly newsletter, regular social media posts, website articles, press releases, presentation decks, and other MBF PR methods and materials.
  • Assist with regular MBF website maintenance.
  • Develop skills in popular programs such as Canva and Constant Contact for digital marketing and graphic design, for use in MBF communications.
  • Meeting Support & Event Planning
  • Provide logistical and administrative support to Foundation events, such as Board and committee meetings, annual meetings, grantee receptions, and fundraising events, (including the upcoming 60th anniversary celebration.)
  • Assist in compiling and distributing meeting materials.
  • Assist in the preparation of meeting minutes, when required.

General Administration

  • Manage office, meeting, and event supply ordering and tracking.
  • Maintain system of filing and record keeping. Assist in documenting and maintaining information relevant to organizational history.
  • Manage occasional special projects as assigned.
  • Manage occasional research projects as assigned.

Qualifications

  • An interest in social justice, legal services, and the nonprofit and/or philanthropic sector.
  • Bachelor’s degree preferred (though equivalent life experience considered.)
  • Outstanding project management skills--must be able to prioritize, plan, and manage multiple projects simultaneously with high attention to detail.
  • Flexibility--able to work well independently, as well as part of a team, in a fast-paced environment.
  • Excellent verbal, writing, proofreading, and general communication skills.
  • Professional demeanor and the ability to interact effectively with donors, grant-seekers, board members, and colleagues.
  • Proficiency in Microsoft Office applications. Familiarity with Canva, Constant Contact, Donor Box, and Square Space a plus. Skills in graphic design and/or photography are also a plus.
  • Availability to attend occasional evening meetings and events. Ability to travel within Massachusetts.

Salary Range: $48,000 - $56,000, commensurate with skill and experience.
