Job Title: Executive Assistant to the CEO

Location: In-person position requires presence in our Long Island Office.

Position Type: Full-time

We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will be local, detail-oriented, and capable of managing multiple tasks and projects simultaneously. The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have some relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO's operations run smoothly. This is an in-person position that requires regular attendance in the office. The role demands a high level of professionalism and the ability to attend local events as a representative of the CEO and the company.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Manage and monitor the CEO’s email, ensuring timely responses and follow-ups.
  • Attend meetings and local events with or on behalf of the CEO, taking notes and providing summaries and follow-ups.
  • Serve as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and collaboration.
  • Ensure and oversee that the staff complies with the CEO's requests and directives.
  • Protect the CEO’s time by managing schedules and filtering requests, ensuring that the CEO’s production is maximized.
  • Assist in planning and organizing company events, conferences, and other activities.
  • Manage special projects and initiatives as assigned by the CEO.
  • Maintain and organize files, records, and other documents to ensure efficient and accessible storage.
  • Perform other related duties as required to support the CEO and the overall operations of the company.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role for at least 3 years.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • High level of professionalism, empathy, customer service, great listener and communicator. 
  • Ability to attend local events and meetings as required.
  • Strong interpersonal skills and the ability to build and maintain professional relationships.
  • Local candidate, able to be present in the office on a regular basis.
