Texas A&M Engineering Extension Service - TEEX is Hiring a Project Coordinator Near College Station, TX

The Project Coordinator I is responsible for assisting and coordinating support activities with the day-to-day administrative requirements of multiple projects for the Business and Cyber Solutions Division. Works closely with Business and Cyber Solutions NERRTC funded programs to support their efforts to create training for cybersecurity personnel. Duties include communicating with instructors and participants, maintaining, and updating databases, along with other logistical and support functions required by the various programs. Monitors course registration for the Cybersecurity Incident and Response Management (PER371) course. Ensures that the required number of students are registered for the course and that the appropriate number of participants are represented from each discipline. Ensures that prerequisite training certifications are verified prior to attendance. The position reports to the Continuing Training Grant Training Manager.

Required Qualifications:

  • Bachelor’s degree from an accredited college or university, or equivalent combination of education and experience.
  • Three years of experience providing administrative and logistical support to projects and/or project management.

Required Licenses/Certifications:

  • Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.

Preferred Qualifications:

  • Bachelor’s Degree from an accredited college or university in a field related to adult education, project management, or hospitality.
  • Four years of experience providing administrative and logistical support to projects and/or project management experience.

Physical Requirements

  • Ability to effectively communicate both verbally and in writing.
  • Ability to use computer/keyboard daily.
  • Ability to sit/stand for extended periods of time in an office environment.

  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TEEX regulations and procedures.
  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.
  • As part of TEEX’s mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position’s Division Director/HQ Department Head.
  • Ability to travel independently to other and/or remote locations by driving a personal or TEEX vehicle and/or flying on commercial airlines.
  • This position is funded from grant and/or contract funding, which is renewed through provisions of the grantor of the contract. Therefore, this position is contingent upon continuation of funding from these grants and/or contracts, as well as satisfactory job performance.

Essential Duties, Tasks, and Percentages:

Coordination of Travel, Lodging and Other Logistical Arrangements – 65%

  • Coordinates with Travel Agency Contractor to ensure air travel is arranged for all 30 participants and up to 10 adjunct instructors traveling to College Station to attend the PER371 course.
  • Coordinates with jurisdictional liaisons to ensure established deadlines are met with regards to participant assignments and air travel.
  • Coordinates with local hotels to ensure room block is put in place to accommodate course participants and instructors.
  • Coordinates local travel arrangements between lodging facility and the Emergency Operations Training Center.
  • Briefs participants, both in advance and face-to-face, on transportation arrangements, reporting procedures, and any related issues with the course delivery.
  • Monitors participant return travel and coordinates required travel deviations with the Travel Contractor and the Course Training Manager.
  • Work closely with division business office, NERRTC, and financial services.
  • Coordinates all aspects of travel for FTEs going on site visits and course deliveries under NCPC and NDPC programs.
  • Conducts course registration upon arrival of the participants at the designated lodging location.

Program Support – 35%

  • Provides direct support to the Training Manager to include facility scheduling, agenda planning, travel, and other areas as identified.
  • Ensures classroom is set for all CTG/HSNTP deliveries for Business and Cyber Solutions in the Emergency Operations Training Center.
  • Coordinates catering services to provide lunchtime meals to participants and instructional staff for all Cybersecurity Incident Response and Management deliveries conducted in the Emergency Operations Training Center.
  • Coordinates with Training Managers and Program Directors to plan, develop, and implement a master training calendar to meet the needs of the customer.
  • Coordinates closeout of courses associated with the CTG and HSNTP programs.
  • Coordinates with and supports other NCPC and NDPC training, exercises, planning, and simulation programs as required.
  • Prepares correspondence, reports, forms, and memos in a timely manner.
  • Researches and gathers necessary information in support of the program.
  • Coordinates team meetings, prepares for upcoming deadlines, events and program items that require action by the training managers.
  • Performs and coordinates the administrative actions required for delivery of the Cybersecurity Incident and Response Management course delivery.
  • Ensures that outstanding invoices from hotels and associated course costs are received in a timely manner and processed for completion in a timely manner.
  • Reviews student and instructor course surveys to identify satisfaction/dissatisfaction with course travel, meals, and lodging and submits a written report to the training managers in a timely manner.
  • Identifies and communicates potential areas for improvement based on findings/trends.
  • Coordinates with training managers and all division staff to ensure a quality course delivery is provided for the client.
  • Ensures photos are taken for each Cybersecurity Incident Response and Management delivery and stored on a shared drive for program and division use.
  • Ensures regular outreach and posts about the Cyber Incident Response and Management course along with other HSNTP/CTG courses are made to various social media platforms on a regular basis.

Other Duties:

  • Supports Business and Cyber Solutions NERRTC grant operations as required.
  • Performs other duties as assigned.
