Job Title: Lead Payroll Specialist / Assistant Payroll Manager

Job Reports To: Payroll Manager

Classification: Exempt X Non-Exempt

POSITION SUMMARY: Under the general direction of the Payroll Manager, the Senior payroll associate compiles and records employee time and payroll data and prepares paychecks.

Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essentials functions.

Review weekly time entries for accuracy and prepare file for import to payroll via HCSS and Remote Time

Contact various department supervisors for any missed time, incorrect or missing job/sub job/cost-codes, or errors/rejections noted on import file.

Process weekly union and non-union payroll checks and direct deposit.

Prepare, review and upload weekly 401k file amounts. Acts as troubleshooter and back for all companies assigned or unassigned.

As back up to other team members, verify new employee information and assist HR with employee entry.

Track and pay Income Withholding Orders for Child Support and all other wage garnishments on a weekly basis via Expert Pay or AP Department as assigned.

Performs other incidental and related duties as required and assigned.

Process sensitive payrolls (management and similar), via third party services, including backing up the Manager with KBS payroll.

Prepares payroll journal entries for third party processed payrolls, and primary contact for accounting third party payrolls.

Active participant in multiple pension audits, securing, sharing and reconciling information, interacting with Ascensus, 401k Administrator and CPA’s.

Assist with annual workers compensation audits and related insurance reporting needs.

Understands Federal, State and Local payroll tax rules and required compliance needs.

Prepares compliance reporting following timelines and when required.

Uses computer and various software programs to input, maintain, research and retrieve information.

Prepares and executes payroll cash actions and bank file uploads.

Participates in changes and updates to the payroll process/software by assisting the Payroll Manager with testing and rule/validation table changes.

Provides direction, training, and assistance to department staff regarding various payroll processes.

Oversees multiple companies’ weekly payroll processes and assist guides and manages other team members.
