Job Description
If you are self-motivated with a great eye for detail and are well-organized with a focus on efficiency and accuracy we need you to join our office family. We provide excellent service to our clients therefore we have high expectations of whomever joins our team. The ideal candidate will be experienced, trustworthy, highly dependable, mature and grounded, competent in prioritizing and working with little supervision. We are looking for someone who is proactive and excited to play an integral and valuable role in our office. In addition, you will be skilled in all office procedures and ensure all functions are properly recorded, contain all required documentation and adhere to regulatory requirements.
Responsibilities
· Handle communication with customers in a friendly and professional manner
· Process client account transactions and forms and applications with accuracy
· Maintain office efficiency
· Manage the office email and phone communication with clients and assist in answering basic client questions
· Assist vice president and registered representatives in day-to-day business
· Data entry in Microsoft Office Suite
· Design and implement filing systems and ensure filing systems are maintained and current
· Ability to write procedures, reports and business correspondence and manuals
· Implement procedural and policy changes
· Monitor and maintain office supplies, postage and marketing materials
· Update, order and keep current literature supply from Mutual Fund companies
· Establish and monitor procedures for record keeping
· Ensure security, integrity and confidentiality of all data
· Prepare operational reports for review by upper management
· Co-ordinate schedules, appointments and bookings
· Notarize Documents (we will pay for your notary test and license!!)
Skills and Qualifications
· Proficient with Microsoft Office Suite
· Outstanding written and verbal communication skills including proper pronunciation and grammar
· Maintain a professional image (dress code is business casual)
· Monitor own work to ensure quality
· Familiarity with computers, phones, photocopiers, filing cabinets
· Strong attention to detail with the ability to work with a high degree of accuracy
· Solid organization and planning capabilities, strong attention to detail
· Self-motivated and goal-oriented with ability to multi-task
· Capability to work in a team-oriented office environment
