WealthBridge Financial Group is Hiring an Operations Director Near Plymouth Meeting, PA

The role of Operations Director (OD) is critical in managing the new business processes from beginning to end, as well as supporting other ancillary processes within the firm. The OD will have responsibility, in whole or in part, for areas in New Business, Compliance, Onboarding, and Information Technology (software and hardware). This position oversees the executive assistant at reception as well.

PRIMARY RESPONSIBILITIES

New Business

Creation and maintenance of a thorough new business process that begins with application creation and ends with the advisors getting paid and grid revenue being credited.

Ongoing monitoring of all cases currently in the new business pipeline. This will also entail making proactive outreach to internal and outside contacts and companies to trouble-shoot hang-ups in the new business process in an effort to expedite the cases. Outstanding items will, if possible, be rectified by the ASL and, if not, only then be directed to the advisor.

Periodic creation of reports for the Managing Partner to review:

  • Total Pending Business
  • Business Trends
  • Per-Advisor Production and Mix of Business

New business application preparation as requested by the advisors.

Administration and maintenance of the firm DocuSign and eSign system.

Maintain and monitor all checks and New Business Logs.

Print and compile all completed new business applications and maintain central files for all advisors at detached offices.

Onboarding

Preparation of all required new advisor contracting paperwork and employee benefits information. Distribution of these documents to candidates, as well as making sure all requirements are met.

Preparation of a “welcome kit” for new advisors.

Making sure all hardware (phones/laptops, etc.) are ordered and ready for first day

I.T. and Cybersecurity

Maintenance of firm laptops and servers

Ordering of new and decommissioning of expired machines and hardware.

Miscellaneous

Oversee and maintain schedule of receptionist and her duties.

Order office supplies as needed.

Communicate with firm vendors as needed

Provide administrative assistance to Advisors

Routinely contact existing clients via phone, e-mail, or mail

Making sure advisors have phones and phone numbers through 8x8

Managing relationships with vendors like WB Mason, Staples etc.

Troubleshoot problems and issues as they arise, acting as a true business partner to advisors and the firm.

Participate in leadership meetings/seminars.

Excellent organizational and problem-solving skills to ensure expedient processing of new business, service requests and to complete special projects with tight deadlines.

QUALIFICATIONS

Excellent organizational skills and ability to manage multiple assignments, set priorities, meet deadlines, complete follow-ups, and maintain required records with a minimum of supervision.

Excellent oral and written communication skills with ability to build rapport with representatives, contract/account owners, and Broker/Dealer staff.

Strong interpersonal skills. Must be able to deal effectively with a wide variety of people while always representing WBF in a positive light.

Excellent analytical and problem-solving skills.

At least five (3) years of Administrative/Manager or leader experience preferred.
