Marygrove Conservancy is Hiring a Property Administrator Near Detroit, MI

Overview:
We are seeking a detail-oriented Property Administrator to join our team. The role will start off as part time and transition into full time for the right candidate. The ideal candidate will have experience in property management, leasing, and real estate administrative tasks. Knowledge of Fair Housing regulations and proficiency in data entry are essential for this role.

Duties and Responsibilities:

· Maintain office equipment and order supplies.

· Maintain a clean and organized office including filing system.

· Work with the property manager and facilities manager to ensure that preventative maintenance is scheduled and performed according to reports.

· Assist leadership of Marygrove Conservancy upon request.

· Maintain and update databases (i.e. staff, tenants, vendors/billing contacts, fire wardens, et

· Maintain organization of all property binders for various areas of the property.

· Track vendor contracts and insurance compliance (both vendors and tenants).

· Organize and maintain accurate storage of all files, documents, plans, city notices/documents and photos, etc. on secure tenant portal (SharePoint) to ensure accuracy and most current information.

· Manage work order system (Landport) producing weekly reports to review with the team to insure close out and follow up (seeking feedback from the tenant).

· Maintain all Insurance documentation, including all incident reports and claims documents in tenant portal.

· Prepare any non-recurring invoices for tenants or other clients.

· Forward and/or record any tenant payments to the accounting system, lockbox and communicate with accounting.

· Assist in the development documents & property management procedures.

· Be available to tour potential visitors or clients through spaces as directed by the property manager.

· Keep and maintain all updated tenant portal documents on the website.

· Tenant Invoicing: Review for accurate billing and prepare/distribute to all tenants monthly.

· Accounts Payable Invoices: Code, verify services/rates and prepare invoices for approval.

· Upload all utility invoices to the tenant portal.

· Produce monthly work order bill backs for tenants.

· Track all accounts payable pending cost via purchase order tracking system for monthly review and vendor notification.

· Oversee review of electrical metering costs for tenants along with monthly janitorial square footage reconciliation for the janitorial team, and coordinate with accounting.

· Distribute the final monthly reports to the specified list provided by property manager.

· Develop positive working relationships with all tenants.

· Ensure that all tenant inquiries and complaints are timely and satisfactorily addressed.

· Update tenant email database weekly and distribute building communication emails as requested.

· Assist with planning and implementing tenant relations events and gifts.

· Assist with event scheduling and coordination if needed.

· Coordinate all tenant move ins and outs, notifying any related vendors and team members.

· Produce newsletters and positive electronic tenant communications with the property manager as directed.

· Work with the property manager to keep an updated list of delinquencies and provide spreadsheets to senior managers by the 10th of the month, and again at month end.

· Abstract leases and amendments and give to property manager for verification.

· Complete rent commencement letters.

· Provide updated tenant welcome packages for new tenants and distribute welcome gifts.

Skills, Education & Experience:

· Minimum of 2 years’ experience in Property Management required, degree preferred.

· Strong organizational and communication skills are a must.

· Ability to oversee multiple projects/assignments and prioritize when necessary.

· Exceptional attention to detail and accuracy.

· Must be a self-starting service-orientated professional with exceptional relationship building and management skills.

· Excellent written and verbal communication skills.

· Proficient in Microsoft - Excel, Outlook, and Word software packages.

· Proficient with Adobe, GoogleDoc and/or SharePoint.

· Experience with Accounting and Work Order Software such as Yardi and Landport.

· Michigan Real Estate Person Sales License-required. Or have the willingness and ability to obtain within six months of employment,

Job Type: Part-time

Pay: $50,000.00 - $55,000.00 per year

Expected hours: 20 per week
