Title: Human Resources and Office Manager

Start Date: July 1, 2024

Position: 40 hours per week (General office hours Mon. - Fri. Occasional evening and weekend work as needed.) Located in Portland, OR office. This is not a remote position.

Compensation: $26 - $32/ Hour (Depending on Experience)

Job Description:

This role is 50% Human Resources and 50% Office Manager. Everything this person does must be done with a Diversity, Equity, and Inclusion lens.

As Human Resources Manager, this role is responsible for planning, coordinating, and directing the administrative functions of LMS. They oversee budget approvals, salaries and benefits, develop and implement policies related to departmental workflow, support the entire employee lifecycle, support recruitment efforts, improve employee relations, and ensure HR is following best practices.

As Office Manager, this role ensures that the office runs smoothly. It reports directly to the CEO and works on a team with the Administrative Assistant and Office Support Staff.

Responsibilities and Tasks

Human Resources Manager - 50%

  • Develops and implements HR strategies and initiatives aligned with the overall LMS strategy
  • Bridges management and employee relations by addressing demands, grievances or other issues
  • Manages the recruitment and selection process, as well as the entire employee lifecycle.
  • Develops and monitors overall HR strategies, systems, tactics and procedures across the organization
  • Nurtures a positive working environment
  • Oversees and manages employee annual review meetings and all aspects of this process.
  • Maintains pay plan and benefits program
  • Assesses training needs to apply and monitor training programs
  • Reports to management and provide decision support through HR metrics
  • Ensures legal compliance throughout human resource management
  • Works directly with the CEO and provides decision support through HR metrics

Office Manager responsibilities - 50%

  • Supports company operations by maintaining office systems and supervising staff.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Provide support scheduling group meetings and maintaining calendars.
  • Supports the LMS bookkeeper/ Office Assistant as needed with organizing office operations and procedures, managing payroll process compliance, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
  • Manages the Operations team to best serve the company and its goals.

Education And/Or Experience

  • Bilingual proficiency (Spanish/ English), preferred.
  • Experience in a start-up environment, preferred.
  • Previous human resources and office management experience, preferred.

  • Excellent leadership, organizational and process improvement skills with the ability to effectively handle multiple priorities and demands in a dynamic work environment
  • Ability to communicate effectively, manage multiple tasks and supervise staff with a high level of organization, flexibility, clarity, and humility
  • Ability to use good judgment, personal initiative, and discretion to perform complex work with particular attention to detail
  • Above basic computer skills; Google Workspace and Project Management software experience preferred
  • Ability to reliably and effectively interact with individuals at all levels, internal and external to the organization
  • Ability to maintain confidentiality when performing assignments that are sensitive and confidential
  • Excellent written and oral communication skills (including grammar, spelling, and proofreading skills) with the ability to assist in all forms of business correspondence
  • Equally comfortable with proposing ideas/solutions and accepting direction from LMS staff.
  • Strong interpersonal skills. Ability to learn, inform, and delegate.
  • As needed, may support reporting, budget tracking, inventory tracking, and data entry skills
