Arab American Civic Council is Hiring an Operations Manager Near Anaheim, CA

Job Title: Operations Manager

Location: Anaheim, CA 

Reporting to: Executive Director

Classification: Full-time, Exempt

About the Arab American Civic Council: The Arab American Civic Council (AACC) is a 501c3 nonprofit grassroots organization dedicated to empowering Arab Americans. Our mission is to build community by facilitating the civic participation of Arab Americans towards justice and equity. Through our programs and initiatives, we strive to create a more inclusive and equitable society where Arab Americans can thrive.

About the position: The Operations Manager is responsible for overseeing daily operations, managing budgets and HR operations, leading and supporting staff, ensuring compliance with regulations, developing organizational policies, implementing strategies to support the organization mission, improving efficiency, fostering a positive work environment, and ensuring the AACC is compliant with best practices, procedures, and policies and runs smoothly as an organization. 

The ideal candidate will play a critical role in ensuring the smooth and efficient operation of AACC's programs, initiatives, and activities. This position requires a dynamic individual with strong organizational skills, attention to detail, and a commitment to our mission of empowering the Arab American community.

Required Experience: At least 5 years of direct experience working in an HR, operations, administrative, and/or nonprofit management position. 

Key Responsibilities:

Administrative and Program Support:

  • Manage and oversee the organization's administrative functions, including office management, scheduling, and record-keeping.
  • Develop and implement efficient administrative processes and procedures to streamline operations and improve productivity.
  • Supervise full-time and part-time staff, including fellows, interns and volunteers.
  • Facilitate and organize staff meetings.
  • Monitor and document the progress of assigned deliverables for each team member.
  • Support program leads with the implementation of the AACC's programs and initiatives.
  • Support administrative staff with logistics for events, workshops, and meetings, including venue booking, equipment setup, and catering arrangements.
  • Assist the Executive Director with grant management, reporting, and compliance requirements.

Financial Management:

  • Work closely with the Executive Director to develop and manage the organization's annual budget.
  • Monitor expenses, track financial transactions, and prepare regular financial reports for review by the Executive Director and Board of Directors.
  • Ensure compliance with financial policies, procedures, and regulations.

Human Resources:

  • Oversee human resources functions, including daily staff support, recruitment, onboarding and offboarding, performance management, and staff development.
  • Maintain personnel records and ensure compliance with employment laws and regulations.
  • Coordinate professional development and training for staff. 
  • Foster a positive and inclusive work environment that values diversity, equity, and inclusion.
  • Track all contracting/consulting relationships, providing template contracts and ensuring that contracts are signed and filed, and W-9 documents are provided.

Legal Compliance:

  • Coordinate with the Executive Director and outsource accountants to ensure timely filing of all federal, state, and city reports and returns.
  • Ensure that all local government licensing and registration requirements are up-to-date and maintained, including but not limited to, Department of Revenue, Secretary of State registration, Secretary of State Charitable renewal, 501c(3) status, and DUNS.
  • Ensure that the AACC is compliant with all commercial insurance including but not limited to: general liability and Directors & Officers Insurance.
  • Maintain current certificates of insurance.

Communication and Outreach:

  • Serve as a liaison between the AACC staff, volunteers, and partners, ensuring the implementation of outreach activities.
  • Support the development and implementation of communication strategies to promote AACC's mission and activities.

Qualifications:

  • Bachelor's degree in business administration or related field (Master's degree preferred).
  • Minimum of 5 years of experience in nonprofit management, human resources, consulting, operations, administration, or related field.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Ample experience with office management technology and database systems. 
  • Knowledge of nonprofit financial management principles and practices.
  • Commitment to social justice, diversity, equity, and inclusion.
  • Arabic language proficiency is preferred, but not required. 

Salary: $65,000 - $75,000 annually based on experience.
