Role Overview

As the Finance, Operations and Data Manager at Drexel Hillel, you will ensure internal operations are running smoothly while harnessing the power of data collection and analysis to support the growth of Drexel Hillel. Reporting to the Executive Director, the Finance, Data and Operations Manager is responsible for a broad array of Drexel Hillel’s financial, data management and operations functions. Responsibilities include finance, HR, insurance and technology management. Data management functions are primarily focused on two areas: Data entry, reporting and management related to our CRM used for donor relations (including data entry), and supporting student and prospective student data management and reporting. 

Key Responsibilities

FINANCE

  • Provide support for bookkeeping and accounting as needed including processing invoices, reconciling credit card bills and management of digital and on-site accounting files
  • Serve as lead professional liaison to accountants for audit
  • Manage processes to ensure that all transactions are recorded and coded in an accurate and efficient manner 
  • Work with Exec. Director and Board to ensure that Drexel Hillel is in compliance with all relevant state and Federal registration and tax regulation
  • Support Hillel staff in developing and tracking annual budgets
  • Strengthen internal financial systems
  • Serve as professional staff member for the Finance and Audit Committees

TECHNOLOGY & DATA MANAGEMENT

  • Manage and maintain Hillel Fundraising database 
  • Ensure that all gifts are properly entered and acknowledged
  • Manage interface between student database and fundraising database
  • Work with Development Director to produce quarterly fundraising 
  • Manage GoogleSuite users
  • Ensure email communications CRM systems are well maintained 
  • Manage Drexel Hillel's portfolio of digital tools, provide training for staff, and recommend and implement changes in technology to best support our work
  • Manage and participate in updating the Drexel Hillel website content and design as necessary

PAYROLL & HUMAN RESOURCES

  • Coordinate and submit all necessary payroll forms and information 
  • Manage payroll administration (currently through Paycom and Hillel International)
  • Work with insurance brokers to acquire and maintain employee health insurance
  • Assist with onboarding new employees, benefits administration, and employee record keeping (including maintaining internal records of vacation / sick time)

OPERATIONS & LOGISTICS MANAGEMENT

  • Maintain inventory of and manage sale of resale items
  • Supervise work-study students and student / lay volunteers as needed to fulfill administrative tasks, supply, and logistics needs (inventory, organization etc)
  • Coordinate with Drexel University staff to manage building schedule, repairs, and other logistics
  • Support data management and other logistics for Celebrate Hillel, Family Weekend, and other stewardship/fundraising events
  •  Coordinate and manage building signage in partnership with the University

BOARD SUPPORT

  • Work with Executive Director to disseminate materials for all Board of Director and Committee meetings 
  • Take minutes at all Board of Directors meetings 
  • Work with Finance committee and Executive Director to prepare annual budgets
  • Work with Finance Committee, Jewish Federation and/or other insurance brokers to ensure adequate organizational insurance coverage (D&O, liability and other necessary insurances)

What You’ve Accomplished

  • 2-5 years in bookkeeping, accounting, database management or other relevant experience
  • Bachelor’s degree required. 
  • Proven success:
    • Managing organizational finances
    • Maintaining clean and accurate data
    • Applying written and oral communication skills; able to communicate appropriately through email, formal letters, and reports
    • Using Salesforce, Little Green Light or other database applications with a close eye to detail

What You’ll Receive

  • Competitive salary in the nonprofit marketplace. The salary range for this part-time (20hrs/week) role is $25,000 - $26,500
  • Ability to work primarily remotely (expectation of at least 5hrs/week on campus)
