SubSplit Services Group, LP is Hiring an Executive Administrator Near Memphis, TN

SubSplit Services Group, LP is a permanent capital partnership that supports MEP businesses and their owners. SubSplit is dedicated to preserving culture, supporting successor leaders, and enhancing long-term value for the businesses they invest in.

KEY RESPONSIBILITIES

Executive Administration:

  • Manage and maintain partnership and management company accounting and payroll functions, ensuring accuracy, compliance, and efficiency. This includes but is not limited to:
  • Coordinate LP Capital Calls
  • Manage LP Capital Accounts
  • Allocate Management Fees
  • Allocate Expenses according to GP approved chart of accounts.
  • Coordinate and Manage Suppliers and Professional Services utilized by SubSplit teams.
  • Establish and adhere to supplier setup controls and payment controls.
  • Execute supplier payment remittance, customer invoicing, cash application, and bank reconciliations.
  • Establish annual accruals and execute periodic JEs.
  • Execute purchase accounting entries for partnership acquisitions.
  • Establish and execute the monthly closing process.
  • Produce Monthly, Quarterly, and Annual Financials for Stakeholders
  • Execute weekly payroll and expense reimbursements.
  • Remit scheduled payments for leases, taxes, insurance, and other non-AP items.
  • Establish Partnership tax projections, estimated partner tax liabilities, and execute tax distributions.
  • Execute other Partnership distributions at the direction of the General Partner
  • Provide on-demand financial reporting for the Board of Advisors and General Partner
  • Coordinate executive administrative tasks, including calendar management, document preparation, and partner relationship management.
  • Oversee benefit plan administration and compliance, collaborating with external advisors as needed.

Office Management:

  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement for the management company.
  • Manage office supplies inventory and procurement processes.
  • Handle scheduling, travel arrangements, and event coordination for executives and board members.

Vendor Relations and Contract Management:

  • Liaise with third-party vendors and contractors, negotiating contracts and ensuring service delivery.
  • Monitor vendor performance and resolve any issues or discrepancies.

Required Skills/Abilities:

  • Strong proficiency in accounting and financial management, including partnership and entity-level bookkeeping.
  • Ability to manage multiple tasks and priorities effectively, especially during periods of high activity or downtime.
  • Comfortable handling banking transactions and ensuring compliance with regulatory standards.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proven ability to initiate and drive process improvements.
  • Ability to manage sensitive information with confidentiality and discretion.
  • Focus on efficiency, precision, and getting tasks done effectively.
  • Ability to work flexibly in a full-time capacity in our Memphis office.

Education and Experience:

  • Bachelor’s degree in business administration, Accounting, HR Management, or a related field, preferred but not required.
  • Proven experience (5 years) in an executive administrative role or similar position, with a strong understanding of partnership accounting and compliance.
  • Experience with financial reporting and bookkeeping practices.
  • Experience in managing office operations and supporting senior executives.
