The ideal candidate can juggle several tasks and is intrinsically friendly, outgoing, and professional in demeanor, appearance, and speech. Although some training will be provided, you work best with little guidance/minimal direction but are a team player. Driver’s license required. Personal and reliable method of transportation preferred.
Duties and Responsibilities include but are not limited to:
· Assist the President in all aspects, business and personal.
· Assist Firm Manager in a multitude of business-related tasks/projects and clerical/secretarial functions as needed.
· Participate in a wide variety of special projects and compile a variety of special reports, events planning, internet research.
· Participate in business development and marketing tasks including preparing email blasts and tracking new project opportunities.
· Interface with all staff at all levels, Family Members, and clients in professional manner, including written correspondence.
· Answering the phones. Primary responsibility for multi-line telephones, answering in a professional, timely manner, which entails routing calls to appropriate individuals, taking messages, forward to voicemail, phone screening, and maintaining a phone log.
· Arrange for messengers, FedEx, deliveries and tracking of packages, to and from clients and vendors. Prepare, stamp, distribute and copy incoming and outgoing mail, as necessary and requested. Properly fill-out letters of transmittal.
· Awareness and upkeep of overall impression of the office to incoming visitors, including organization of public meeting areas and appearance of the front-desk area.
· Monitor and maintain office supply inventory, equipment, and phones, along with research and coordination of purchasing new office equipment, hardware and software, books / magazines or misc. supplies.
· Perform office opening and closing procedures and daily cleaning and maintenance of kitchen and conference areas.
Assistant Skills and Abilities Required:
· 1-2 years' experience with increasing responsibility in fast-paced environments, preferred working for time-billing professionals.
· Candidate must have advanced skills in Microsoft 365 and preferably in Adobe Creative.
· Very computer friendly -- spreadsheet proficient, easily learn new and manage software/platforms, and able to resolve minor computer issues.
· Candidate must be willing and able to use their own vehicle for travel, when required.
· Must be a motivated self-starter with strong work ethic, self-confident, articulate, consistent and dependable, be used to working with all levels of staff within and outside the organization. Ability to demonstrate smart judgment and initiative.
· Strong organizational skills, detail oriented, ability to handle multiple priorities simultaneously.
· Excellent grammar, spelling, writing/editing/proofreading skills.
· Internet-savvy and understanding of social networking would be a plus.
· Flexible working schedule.
