Sustant, LLC is Hiring an Office / Operations Manager Near Saint Paul, MN

**Job Overview:**

This role provides the opportunity to support the President and staff in day-to-day operations and ensures the organization runs smoothly. The Administrator will coordinate with our bookkeeper and accountant to manage financial operations. This position is also responsible for order processing, freight arrangements and tracking & coordination throughout the shipping process. Customer and vendor communications are required of this position

The ideal individual will have a positive attitude, be quick on their feet and operate with a high degree of professionalism.

**Duties:*

  • Coordinate bookkeeping including Accounts Payable, Accounts Receivable and payroll with external bookkeeper.
  • Reconcile bank accounts and monitor tax payments in coordination with external bookkeeper.
  • Process internal and external Purchase Orders, shipping and invoicing in QuickBooks software.
  • Arrange shipment of customer orders and incoming orders with freight companies. Track Back Orders.
  • Communicate order and shipment information with warehouse staff including providing Packing Lists, BOL’s and labeling of product. Receive shipping documents and ensure accuracy.
  • Provide administrative support to the President, Vice President, and Sales Team.
  • Maintain raw material and finished product inventory in coordination with internal and external warehouse staff.
  • Maintain inventory of office supplies and ensure prompt ordering of supplies when needed.
  • Maintain inventory of shipping supplies including the ordering and coordination of branded materials for accuracy and graphic integrity.
  • Implement and maintain efficient office procedures and policies
  • Oversee clerical tasks such as filing, record-keeping, and data entry

**Qualifications:**

  • Over five years working in office administration, financial accounts and/or logistics. Operations management experience desired.
  • Proficient in QuickBooks, MS Office and Excel required.
  • Strong people skills and ability to effectively communicate with all staff, bookkeeper, customers, and vendors.
  • Have exceptional organizational skills with a strong attention to detail.
  • Operate with a high level of personal integrity and ethics.
  • Work independently and prioritize responsibilities with little supervision.
  • Must have a high school diploma/GED, Associate’s degree preferred.

Job Type: Part-time

Pay: $28.00 - $30.00 per hour

Expected hours: 28 – 32 per week
