We are looking for a receptionist to train to perform paralegal type work with a senior attorney. You must be a flexible self-starter, who works well independently. The ideal candidate will be part of a small team and help to maintain a smooth-running office.
Duties and Responsibilities
· Have an ability to work after hours or weekends with other team members on client deadline filings;
· Arrive punctually and inform supervisor immediately of any planned or unplanned absences;
· Operate a multi-line phone including answering all incoming calls in a prompt, polite, professional manner, screen and transfer calls to the appropriate person, quickly greet guests in a friendly and professional manner;
· Take detailed messages when call cannot be completed or calls are received;
· Coordinate the pick-up and delivery of express mail services which includes but not limited to FedEx and UPS;
· Process, receive, sort and distribute mail to appropriate parties;
· Order, receive, stock, and distribute office supplies;
· Clerical duties such as photocopying, faxing, electronic filing, and collating documents;
· Coordinate and schedule calendar appointments;
· Maintain reception area and common areas in a clean and tidy manner at all times;
· Create and maintain office documents for general use;
· Organize, setup, and tear down luncheons for meetings and small events when needed;
· Perform other duties as required and/or assigned.
Qualifications:
· High School Diploma, college hours
· Familiarity with Odyssey, MSWord, and Efiling helpful but not essential
· Ability to prioritize and multitask
· Deadline and detail-oriented with emphasis on accuracy and quality
· Excellent written and verbal communication skills
· Bilingual preferred
Experience:
· Prior office experience or college enrollment
*Initial pay at $10 an hour - 60 day review
