The campus itself is a breathtaking 70,000-square-foot facility celebrating the classic and the modern and has garnered six architectural awards. The restored building features the original 1933 Beverly Hills Post Office (on the National Register of Historic Places), which serves as the theater's dramatic yet welcoming lobby, and includes the contemporary 500-seat, state-of-the-art Bram Goldsmith Theater; the 150-seat Lovelace Studio Theater, dedicated education wing for GRoW @ The Wallis, including an enclosed outdoor education courtyard, and an inviting open-air plaza for family, community and other performances.
ABOUT THE JOB Reporting to the Production Manager, the role of the Assistant Production Manager works alongside the production team and assists in performance related operations, including supervising IATSE crews, scheduling, and event management.
Additionally, the Assistant Production Manager works closely with the Director of Production, Director of Special Projects, and the General Manager on all rentals and special events related operations, including assisting with contracts and estimates, supervising vendors, and serving as event coordinator, as needed.
This is a full-time, non-union, exempt position.
WHAT YOU’LL DO Responsibilities for the Assistant Production Manager include but are not limited to: ‘
  • Supervise the Production Coordinator;
  • Assist Production Manager on presented productions, including taking and distributing meeting notes as well as distributing various show communications to artists and crew;
  • Assist Director of Production, Director of Special Projects, and the General Manager on rentals and special events, including communicating with potential and confirmed clients regarding availability and logistics, building and completing event cost estimates, coordinating client meetings and site visits, and taking and distributing notes from all client site visits and meetings;
  • In tandem with the Director of Production and the Production Manager, hire, onboard, schedule, and supervise all union crew. Ensure all timecards are coded correctly;
  • Manage production office logistics, including ensuring the timely submission of vendor invoices, securing parking vouchers for all production personnel (e.g., artists, crew, vendors, etc.), create and maintain daily IATSE call sheets, create and distribute weekly reports to IATSE Business Reps and Call Stewards, and maintain the stock of production office supplies;
  • Create and maintain dressing room assignments and back of house signage needed for all events;
  • Supervise visiting stage managers during their residency at The Wallis. Onboard SMs regarding Wallis policies and procedures, and ensure that they have the necessary distribution lists, SM keys, and supplies. Manage the SM office logistics, including ensuring the offices are orderly, organized, and stocked throughout the season;
  • Serve as onsite coordinator for rentals and special events for load-in and load-out, and day-of coordinator on event days, as needed. Supervise vendors and serve as point of contact for clients and vendors;
  • Serve as resident stage manager and/or production manager on duty for events and productions, as needed;
  • Other duties as assigned
SKILLS & EXPERIENCE NEEDED
  • High school diploma required. Bachelor’s degree preferred;
  • A minimum of three (3) years’ experience in a supervisor/management role within the entertainment industry required. Experience in production management, stage management, and/or event coordination preferred;
  • Demonstrated leadership skills required. Experience supervising and giving direction to vendors and crews preferred;
  • Knowledge of stage related activities such as stage management, carpentry, rigging, electrics, sound, properties, and costumes/wardrobe;
  • Ability to research and secure outside services and materials to support Wallis productions and events, as needed;
  • Thorough familiarity with Microsoft Outlook, Excel, and Word. Familiarity with drafting and/or event layout software a plus;
  • Strong written and verbal communication skills with stakeholders of varying degrees of experience in production and events;
  • Ability to show initiative and work efficiently in stressful situations;
  • Ability to work nights and weekends, as needed;
  • Experience with touring productions, international artists, and high-profile events is a plus
PHYSICAL DEMANDSMust be able to comfortably negotiate stairs and heights up to 60ft above the ground, as well as working within confined spaces. While performing the essential functions of this job, the incumbent must be able to do the following: stand for extended periods; sit for extended periods; bend and reach for filing and other job-related functions; climb up and down stairs; bend, stoop, and lift to move and retrieve materials; pull, push, and lift; reach both above and below shoulder height. Must be able to visually inspect work. Manual dexterity to operate computer and other office equipment required. Outdoor work may be required, occasionally at temperatures over 85 degrees Fahrenheit.

The salary range for this position is $66,560 to $69,225 per year with 100% paid medical benefits, including dental, vision and life insurance ($25,000) for the employee, paid vacation, personal and sick days, 401k and paid parking. Complimentary tickets are occasionally available for performances and events at The Wallis.
