The Dispute Resolution Center of Montgomery County is Hiring an Intake Coordinator Near Conroe, TX

The Dispute Resolution Center of Montgomery County, Inc. (DRC-MC) is a 501(c)(3) corporation that has been helping Montgomery County residents with difficult conversations since 1988.

The DRC-MC’s mission is to provide and promote affordable, high-quality conflict resolution services and training to the Montgomery County area.

Job Description – The Intake Coordinator will interface extensively with members of the public, volunteers and Montgomery County court personnel to schedule mediations and ADR training in a very fast-paced and dynamic non-profit agency. The Intake Coordinator will also be responsible for billing invoices and Accounts Receivable receipts, provide technical assistance to volunteers, and contribute as an integral team member on public training and education programs.

Job Responsibilities: The Intake Coordinator must:

· Greet all DRC-MC visitors and volunteers in a welcoming, professional, and pleasant manner

· Professionally, accurately, and efficiently handle public inquiries

· Respond to all in-coming calls, court correspondence, visitors, and online mediation applications in a timely, pleasant, and efficient manner

· Enter all mediation applications, court mediations referrals, and scheduling documents into the DRC- MC’s case management and calendaring systems in a timely, appropriate, and accurate manner

· Accurately schedule appointments, meetings, and mediations for the DRC-MC and timely confirm the same through written and verbal means

· Maintain an on-going professional referral relationship with all Montgomery County Courts

· Prepare DRC-MC meeting rooms with all necessary supplies, refreshments, and updated forms for mediations and report necessary meeting room repairs to appropriate Montgomery County authorities and DRC staff

· Collect and accurately document accounts receivables

· Send billing invoices and payment reminders to parties and their attorneys and record in Outlook when payment is received

· Close all cases and complete timely court filing of Mediation Results Reports each day and Mediated Settlement Agreements, as needed

· Host online mediations via Zoom as needed

· Maintain accurate, confidential, and timely in-office filings of Mediated Settlement Agreements for the period prescribed by the DRC-MC’s Document Retention Policy

· Promptly update file closures and prepare a timely and accurate analysis of DRC-MC effectiveness rates on a monthly basis

Required Qualifications: The qualifications below are representative of the knowledge, skill and/or ability required for the Intake Coordinator:

· Minimum of 3 years of progressive Administrative work experience, which includes scheduling and sales. Alternative Dispute Resolution and/or paralegal experience preferred. A relevant degree, such as in office administration, social services, legal studies, or conflict resolution may substitute for partial work experience.

· Must have excellent organizational, verbal, and written interpersonal communication skills. The ability to interact with the government officials, attorneys, DRC-MC volunteers, staff, and overall community in a professional, poised, and respectful manner is required.

· Must be technologically proficient with working knowledge of Zoom, DocuSign, TEAMS, and teleconferencing.

· Must be able to handle a fast-paced environment, multi-line phone system accurately and efficiently, with the capacity to prioritize work duties and follow-up with all clients in a timely manner.

· Must be proficient in Microsoft Word and Excel formatting and basic functions. The ability to produce professional and thorough case reports is required.

· Must be able to compose and transmit professional looking correspondence in a timely manner.

· Must maintain a high standard of record-keeping according to DRC-MC confidentiality policy and procedures.

· Must be able to work forty (40) hours per week and work on nights and/or weekends, as necessary. Must be able to work overtime as needed.

· Bilingual (Spanish/English) ability is a definite plus.

· Knowledge of Montgomery County, TX community information, education, outreach, and referral services is a plus.

· Must assist with DRC-MC program development and implementation, including the annual Conflict Resolution Day Bookmark Art Contest.

· Must be able to move up to 20 lbs. of supplies.

· Must perform other duties as assigned.

Compensation: Salary is commensurate with experience and qualifications. The DRC-MC offers a competitive benefits package including free parking, medical and dental insurance, travel reimbursement, and paid leave. Approved job related educational expenses will be reimbursed.

Pay: $18.10 - $19.19 per hour
