Clinic Administrator

Summary
The Administrator oversees the daily operational functions of the clinic. The role ensures that the clinic operates efficiently, delivers high-quality patient care, and complies with healthcare regulations. The Administrator collaborates with clinical staff, manages administrative personnel, and develops and implements strategies to improve clinic performance and patient experience.

Responsibilities

  • Responsible for directing and managing the day-to-day operational functions of the clinic and ensuring the provision of high-quality patient care and exceptional service.
  • Develop, implement, and monitor operational policies and procedures.
  • Monitor and evaluate overall clinic performance, including patient outcomes and operational efficiency.
  • Responsible for managing the Human Resources functions of the organization. This includes recruiting, onboarding, training, performance management, employee relations, compliance, and benefits administration.
  • Participate in developing strategic plans to enhance clinical services, and identify opportunities for clinic growth and service line expansion.
  • Collaborate with medical providers to ensure alignment of clinical and operational goals.
  • Build and maintain relationships with referring physicians, healthcare organizations, and the community.
  • Oversee coordination of patient referrals to specialists, diagnostic services, and other healthcare providers.
  • Oversee patient education programs and materials.
  • Ensure clinic operations comply with federal, state, and local healthcare regulations.
  • Coordinate operational and clinical preparation for performance reviews, audits and other private and governmental agency inquiries into clinic functions.
  • Responsible for maintaining accurate patient records, ensuring data security, and patient confidentiality in compliance with HIPAA regulations.
  • Oversee the implementation and maintenance of electronic health records (EHR) and other clinic management systems.
  • Optimize the use of technology to improve clinic operations and patient care.
  • Facilitate effective communication between administrative and clinical staff to create a cohesive culture and foster a positive work environment.
  • Address patient concerns and complaints, ensuring timely resolution and patient satisfaction.
  • Assist in preparing and implementing of annual clinic budget.
  • Coordinate reconfiguring of existing space when needed.
  • Responsible for marketing the clinic to prospective patients, health plans, and others.
  • Develop and maintain comprehensive emergency management plans and procedures.

Qualifications

  • Bachelor’s degree in health administration, business administration, public administration or related field (Master’s degree preferred)
  • Minimum of eight (8) years of progressive experience in healthcare management/leadership, preferably in an outpatient clinic setting.

  • Proficiency in healthcare management software and EHR systems
  • Solid business background including knowledge of best practices
  • Strong analytical and problem-solving skills
  • Demonstrated management and financial skills in dealing with all aspects of business operations
  • Ability to manage multiple tasks and effectively meet deadlines
  • Knowledge of healthcare regulations and accreditation standards
