TransChicago Truck Group is Hiring a Payroll Specialist Near Elmhurst, IL

Job DescriptionPosition Summary:This role is responsible for maintaining the payroll system and processing paychecks according to schedule. Duties will include consolidating timesheet information and entering data into payroll databases, calculating paycheck amounts and distributing funds to employee accounts. The payroll specialist processes all aspects related to paying employees within the organization for multi-state locations and two payroll frequencies. This role is responsible for reviewing time sheets, addressing discrepancies, reviewing benefit and tax withholdings for new hires, calculating unused vacation accruals for separating employees, and maintaining data in the HRIS. This role will report to the director of human resources.
Essential Functions & Responsibilities:
  • Demonstrates highest standards of personal and professional integrity, adheres to company’s policies and procedures, and complies with applicable laws, government rules and regulations.
  • Ownership of entire payroll processing for multi-state payrolls including two frequencies; semi-monthly & weekly.
  • Reviews electronic time sheets for upload to payroll processing including checking for exceptions, manager approval, and final sign off. Tracks time & attendance against varying time off polices.
  • Prepares for payroll processing by entering HR/Payroll information into the system (garnishments, benefit adjustments, deductions, verifies new-hire information is entered correctly, etc.)
  • Assists in producing and issuing manual paychecks.
  • Investigates any payroll discrepancies and process any manual payments on an as-needed basis.
  • Provides payroll and timekeeping assistance to managers and staff; timely responds to payroll questions and/or concerns guaranteeing business needs are timely met.
  • Maintains accurate and up-to-date employee records and personnel files.
  • Oversees the administration and utilization of our human capital management platform, ADP Workforce Now and ADP Workforce Manager.
  • Acts as an advocate for team members to support resolution on any issues and support future HRIS enhancements.
  • Prepares documents yearly HR audits including workers compensation, 401k, etc.
  • Develops and generates regular reports for HR and leadership, providing insights into key HR metrics
  • Reconciles benefits between payroll and vendor invoices to include union welfare & pension monthly statements and other HR related reports.
Required Knowledge, Skills and Abilities:
  • Bachelor’s degree in human resources, Business Administration, Accounting or equivalent work experience
  • 3 years of experience in payroll and human resources management.
  • Full cycle payroll processing from start to finish
  • Proficiency with payroll software, ADP preferred.
  • Strong analytical and problem-solving skills.
  • Excellent organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Ability to handle sensitive and confidential information with discretion
