JOB DUTIES:

UW SYSTEM OFFICIAL TITLE: Administrative Assistant III

POSTING DATE: June 25, 2024

ESSENTIAL JOB FUNCTIONS:

This position reports to the Chair of Education and provides administrative, program, and budgetary support to the departments of Education and Nursing & Health Studies within the College of Health, Education & Social Welfare. This position assists in departmental efforts toward recruitment, retention and providing excellent customer service.

This position includes the following responsibilities:

  • Monitors department budgets & purchasing in ShopUW (e.g., lab supplies, office supplies, uniforms, nametags, etc.).
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums.
  • Prepares and audits complex records, edits documents, and reviews work done by others (e.g., application materials, website revisions).
  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures.
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures (e.g., syllabus repository, course evaluations, faculty files).
  • Hires and supervises student employee(s).

QUALIFICATIONS:

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent at time of application
  • Working knowledge of bookkeeping concepts and math skills.
  • Computer proficiency with the ability to use specialized software packages, database, spreadsheet and word processing, specifically Word, Excel, Outlook, and Teams.
  • Excellent interpersonal skills with the ability and desire to work with diverse persons.
  • Excellent organizational skills and attention to detail.
  • Skill in expressing facts and ideas orally and in writing in a clear, complete and concise manner.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in a related field OR equivalent combination of Associate's degree and experience.
  • Experience in a higher education environment.

SPECIAL NOTES:

Position is a part-time (80%) University Staff appointment. The work hours for this position will be between 7:45 am - 4:30 pm, Monday through Friday during the academic year and reduced hours during break periods and summer.

A criminal conviction investigation will be conducted on the finalist(s). A six-month probationary period is required for this position.In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

SALARY INFORMATION

Minimum salary of $17.75 per hour.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

BENEFIT DETAILS

UW System provides an excellent benefits package to meet the diverse needs of its employees. Our benefits package also includes dental, vision, several life insurance options, AD&D, Accident insurance and Flexible Spending Accounts.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually. Employees earn 13-27 days of vacation each year, depending on years of service and employment type.
