Kentucky State Police Posts are the nerve center of the Agency’s operations. It is here that our sworn officers work on the front lines protecting the citizens of the Commonwealth. But the road units alone do not fully encompass the network of personnel ensuring KSP meets the mission we have been given. It takes support personnel both at Post and across the state. The Administrative Specialist at Post has the responsibility to create a work environment where troopers, detectives and dispatchers can thrive. The perfect candidate will use their skills to ensure the administrative functions supporting the Post operations are accomplished daily.
Responsibilities Include, But Are Not Limited To, The Following
  • Provides administrative support to the post including completing travel vouchers, submitting First Reports of Injury for Worker’s Compensation, maintain Post financial documents, process cash payments from the public and submit necessary documents to the Financial Branch
  • Serve as back-up Timekeeper.
  • Maintain all Post files in accordance with KSP policy.
  • Track and files confidential cases involving sensitive issues such as sex abuse.
  • Develop processes regarding the intake of information requests from the public. Respond to external requests such as from Commonwealth Attorney Offices and requests for copies of accident reports. Inform the public of the "Buy Crash" system, assist with theft reports, and driver/ Commercial Driver License (CDL) manuals.
  • Draft necessary letters that conform to criminal investigation protocol.
  • Order sworn officers' and administrative personnel supplies and equipment.
  • Track fleet inventory along with specific vehicles involved in collisions and the specific unit involved.
  • Track and organize evidence when cases have been reassigned, allowing the facilitation of physical evidence chain of custody.
  • Develop and maintain Post work standards document.
  • Audit and makes recommendation to weekly schedule and keep track of all training, in-service, leave of absences (Military) and injuries for sworn personnel.
  • Receive, secure and communicate confidential information to the appropriate sworn officer.

Minimum RequirementsEDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
