Summary
  • This position plans and executes events, leading their team from the initial conception of the event to its successful completion. The role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate both teams and external contractors to ensure a successful and enjoyable event that meets organizational goals and expectations. Event Project Managers need to balance creativity with logistics, financial planning, and vendor management duties. They should excel at multitasking and balancing big-picture concerns like venue and contractor selection with details like decor and meal planning, effectively utilizing resources and personnel to stage large and small events.This position is employed by Mosaic Health Systems.
Duties
  • Develop event concept and plan. Prepare budgets.
  • Review bills and approve payments/invoices. Create liable financial reports and collect payments on time. Remain under budget with all costs.
  • Acquire and negotiate event sponsorships. Work with sales and marketing teams to effectively promote events. Lead promotional activities for events.
  • Ensure legal compliance with all vendors/venues/etc. Obtain all necessary permits and licenses. Research and book appropriate event venues.
  • Interview, hire, manage and coordinate suppliers, caterers, staff and entertainment. Coordinate event logistics.
  • Negotiate contracts while building and maintaining strong personal relationships with partners.
  • Develop a detailed project plan to track progress. Use appropriate verification techniques to manage changes in project scope, schedule and costs.
  • Create a contingency plan in case problems arise (i.e., weather).
  • Oversee event - carefully monitoring event happenings, supervising all event staff, troubleshooting any problems and ensuring everything runs smoothly and efficiently on the day.
  • Prepare and present post event reports and results to leadership.
  • Other duties as assigned.
Qualifications
  • All required education is a minimum requirement. Higher levels of education are acceptable. A bachelor's degree in Public Relations, Communications or Hospitality is required.
  • A minimum of 2 Years experience in Project Management, proficient in various event software and risk management experience is required.
