NORTHWEST INDEPENDENT SCHOOL DISTRICTJob Title: Planning Specialist (0161)Dept. /School: Planning, Construction & FacilitiesReports to: Director of Planning
Wage/Hour Status: Exempt
Pay Grade: A05
Duty Days: 235
Date Revised: 05/2024Primary PurposeCoordinate and assist planning and construction departments in managing bond projects including new construction and renovations and additions to existing facilities. Coordinate between district and vendors, including architects, general contractors, and consultants on all project documentation such as contracts, amendments, invoices, payment applications, and closeout documentation. Assist in managing furniture scope for the district including new and existing facilities. Organize and maintain department’s project files and records.
Qualifications
  • High school diploma, bachelor’s degree or equivalent experience preferred.
  • Knowledge of project planning and construction principles
  • Strong organizational, communication, and interpersonal skills
  • School district/educational experience preferred.
  • Construction related field experience preferred.
  • Ability to follow written instructions.
  • Proficiency in Windows Office Platform and Google Docs.
  • Knowledge and understanding of school district policies.
  • Knowledge and understanding of school district financial procedures.
  • Successful experience in an office setting, specifically in either school district and/or construction related field.
  • Successful experience in project management.
Major Responsibilities & Duties
  • Act as a liaison between department and vendors, including but not limited to architects, general contractors, and consultants.
  • Coordinate with financial departments as required to ensure prompt payment to vendors.
  • Act as an internal liaison between construction and purchasing departments for all professional services contracts submitted to department.
  • Act as a liaison between department vendors and campus staff.
  • Maintain hardcopy and digital records/files for department.
  • Coordinate moves and storage solutions for campuses.
  • Receive and review quotations/estimates submitted to department for approval.
  • Receive and review invoices submitted to department for payment.
  • Assist in organizing documents requiring Board approval.
  • Coordinate and manage surplus furniture, including furniture submitted for auction.
  • Implement the district furniture standard for all grade levels, departments, and programs.
  • Oversee the ordering, purchasing, installation, and warranty for all new furniture purchased by the district.
  • Manage the inventory of the district’s furniture, across all campuses and facilities.
  • Coordinate site visits with department vendors.
  • Maintain confidentiality.
  • Perform other duties as assigned.

Working ConditionsMaintain emotional control under stress. Work with frequent interruptions. Maintain flexibility during evolving and changing projects. Frequent district wide travel. Occasional prolonged and irregular hours.
Frequent driving of vehicles. Frequent sitting, bending, stooping, twisting, pulling, overhead reaching, keyboarding, and wrist flexion/extension.
