Tenant Service Coordinator
Job Description: The Tenant Service Coordinator serves as the primary contact for all tenants at our properties. This role supports the General Manager, Operations Manager, and Chief Engineer in daily management duties, including but not limited to:
· Respond promptly, effectively, and professionally to all tenant communications.
· Develop excellent rapport with tenants, vendors, clients, and staff.
· Handle all incoming service requests, ensuring timely resolution.
· Coordinate tenant welcome and orientation programs.
· Organize tenant appreciation events and assist with tenant newsletters.
· Support the preparation of annual budgets and year-end reconciliations.
· Assist in tracking operating and capital expenses.
· Help monitor accounts receivables, reporting, and collections.
· Code invoices for approval and payment.
· Assist in the preparation of monthly narratives and documentation for monthly reporting packages.
· Manage reservation calendars for the conference center, freight elevator, and loading dock.
· Track visitor access for tenant visitors and contractors.
· Prepare vendor contracts and purchase orders.
· Monitor tenant and vendor certificate of insurance compliance.
· Maintain updated vendor, tenant, and emergency contact lists.
· Manage building card access lists and track fitness memberships.
· Assist in management audits and maintain all property files for annual audits.
· Maintain accurate lease files.
· Perform administrative duties such as answering phones, greeting visitors and tenants, calendar scheduling, meeting coordination, filing, copying, mail handling, ordering office supplies, and coordinating office equipment maintenance.
· Be flexible with work hours and available during emergency situations.
This person could also support department operations on an as-needed basis.
Skill Set
· Experience: 1 – 3 years; commercial office preferred but not required.
· Able to demonstrate:
o Strong communication and customer service skills.
o Strong attention to detail and aptitude for mathematics.
o Competency with real estate accounting methods and reporting.
o Proficient in Microsoft Office, Word, and Excel.
o Ability to exercise prudent judgment in the absence of supervisory personnel.
