Our client is seeking an Office/Warehouse Administrator to support their on-site team and play a crucial role in their daily operations. This position involves managing administrative tasks, handling invoicing, responding to general inquiries, and assisting with various warehouse administrative duties. This role is pivotal in maintaining the seamless operation of their HQ activities, ensuring inventory accuracy, coordinating order fulfillment, general inquiry management, inventory management, and overseeing shipping operations.

Job Responsibilities:

  • Supervise daily warehouse and office administration operations, ensuring quality assurance, inventory control, and optimal space management.
  • Serve as a liaison between Office, Sales, and Warehouse teams to foster effective communication and relationships.
  • Implement and oversee a robust inventory management system to maintain full control of equipment and parts
  • Ensure seamless access to inventory for equipment and parts for the sales team and distributors.
  • Managing QuickBooks, invoicing, and financial entries.
  • Strong capability in administrative support, including answering phones, managing correspondence, and performing various secretarial duties.

  • Conduct regular training sessions for staff on the use of material handling equipment, enforcing safety and operational standards.
  • Utilize advanced Excel/Google Sheets skills to analyze inventory data and generate real-time reports for internal and external stakeholders.
  • Collaborate closely with all departments to understand their inventory and logistical needs
  • Provide live inventory tracking capabilities to both internal sales teams and external distributors, facilitating immediate access to stock levels.
  • Act as the primary point of contact for coordinating shipping schedules, managing any logistical challenges that arise to avoid any disruptions in the supply chain.
  • Update manufacturing reports and assist in the planning of process improvements to enhance productivity.
  • Perform quality control checks and assist with troubleshooting as needed.
  • Coordinate logistics and shipping times to guarantee timely product delivery.
  • Assist in inventory control, document management, and technical consultation.
  • Organize workload and schedule to ensure efficient operation of warehouse activities.

Qualifications and Job Requirements:

  • Bachelor’s degree in logistics, business administration, or a related field is preferred.
  • Proven experience in administrative and warehouse operations, with a strong emphasis on multitasking and detail orientation.
  • Proficiency in QuickBooks is a must, with substantial experience in billing, and accounting practices.
  • Strong capability in administrative support
  • Exceptional communication skills and the ability to manage multiple facets of operations simultaneously.
  • Proficiency in logistics software, MS Office, and inventory management systems.
  • A customer-centric mentality with a focus on delivering excellence in service.
  • Prior experience in a leadership role within a warehouse setting, with a strong track record of managing inventory and logistics.
  • Strategic thinking skills, with the capability to plan for inventory needs based on sales trends and forecasted demand.
  • Proficiency in conducting technical consultations and providing operational support to enhance overall productivity.
  • Demonstrated ability to oversee inventory control functions, including setting inventory levels, managing stock orders, and handling special purchase requisitions.
  • Experience in streamlining administrative processes to support senior management, such as alleviating administrative burdens from the head of operations and sales by handling admin emails, inquiries, and calls.
  • Ability to liaise effectively between various departments to maintain smooth operations.
  • Advanced skills in QuickBooks and Excel/Google Sheets
