Position SummaryThe Office Administrator at Exscape Designs is responsible for providing a wide range of administrative and accounting support for every department as well as executive assistant duties for the CEO and management team. The ideal candidate will possess exceptional organizational skills, have a keen eye for detail, excellent customer service skills, strong mathematical abilities, and can demonstrate proven success in a similar role and environment.
Essential Duties And ResponsibilitiesThe essential functions include, but are not limited to the following:
  • Overall management of day-to-day office operations including answering phones, general upkeep and filing, the purchasing of office supplies and equipment, mail management, and scheduling cleaning services.
  • AP Management- includes entering payables into QuickBooks, processing the weekly report and check run, and vendor communications
  • Accounts Receivable- processing and documenting customer payments
  • New lead processing & appointment scheduling
  • Assisting with planning a wide range of company projects and events
  • Executive Assistant tasks: Email and calendar management, expense report management, travel arrangements, personal errands and tasks, and any additional tasks requested by CEO or management
  • Maintaining confidentiality of sensitive and confidential information
  • Performing other work-related duties as assigned
Minimum Qualifications (Knowledge, Skills, And Abilities)
  • Associate degree in Business Administration preferred
  • 2 years experience in a similar role
  • Strong computer and internet skills including MS Office suite (Word, Excel, Outlook, PowerPoint), ERP systems, and QuickBooks
  • Proven interpersonal and customer service skills
  • Detail-oriented and results-focused with exceptional organizational ability
  • Professional demeanor and follow-up skills
  • Strong mathematical and accounting abilities
