Mid Willamette Valley Community Action Agency is Hiring a Human resource assistant Near Salem, OR

Join our HR team! The Human Resources Assistant performs administrative tasks in support of the agency and HR team, such as hiring processes, onboarding and off-boarding, benefits administration, record keeping, verifications, filing and responding to clerical requests and surveys.

This position also performs HRIS data entry updates to the system and ongoing maintenance of HR processes.

Candidates must apply by 07 / 09 / 24 in order to be considered for first round interviews.

MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and / or ability required.

EDUCATION and / or EXPERIENCE

  • High School Diploma or GED. College coursework in Personnel / HR, Business, Accounting or Administration preferred but not required.
  • One or more years of work experience in administrative occupations.
  • An equivalent combination of education and experience may be accepted.

CERTIFICATES, LICENSES, REGISTRATION

  • Driver Qualification Status is not required for this position.
  • Candidate must pass a comprehensive MWVCAA background screening prior to employment.
  • Successful registration with the Central Background Registry of the Child Care Division.
  • Candidate must pass pre-employment and random drug / alcohol screenings.

KNOWLEDGE, SKILLS AND ABILITIES

  • Basic proficiencies in computers, including MS Office (Outlook, Word, Teams, Excel) are required.
  • Math computations, spreadsheet calculations, and data manipulation skills are required.
  • Knowledge about benefits and leave administration desirable but not required.
  • Ability to work efficiently to accomplish tasks, and highly organized for follow-up to meet schedules and deadlines.
  • Bilingual-Spanish preferred but not required.
  • To qualify as bilingual, staff must possess demonstrated ability to speak (and for some positions, read and write) fluently in Spanish and English and pass a bilingual test.
  • Bilingual staff may receive a pay differential based on Program language needs.

ESSENTIAL DUTIES and RESPONSIBILITIES This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required.

  • Provides services to staff and management as it relates to HR information, and ensuring agency staff and outside requests are accurate and completed in a timely manner.
  • Assists the agency with compliance, customer service, and confidentiality, supporting employees and management with essential tasks related to employment with the agency.
  • Responds to employees, management, public inquiries within 24-48 hours by email, phone or in-person.
  • Follows laws, policies, and guidelines outlined in Agency Personnel Policies, State and Federal laws, Federal Performance Standards and other state and federal guidelines as appropriate.
  • Assists the COO, Associate Director, and HR team with ongoing administrative tasks and recordkeeping, recruiting, screening, leave administration, onboarding, unemployment, payroll system updates, benefits, preparing forms, employment verifications, workers compensation, HR bills / purchase orders and general ongoing HR work.
  • Performs calculations related to payroll and benefits premiums, audits of HR data, and purchase orders.
  • Supports Executives as back-up for Board Meeting minutes as requested.
  • Provides training and support for front desk staff. Reviews work assignments for front desk projects to ensure accuracy and completeness.
  • Attends to work assignments and ongoing priorities in administration, including coverage of front desk if requested by management.
  • Directly supports HR Supervisor and recruitment team with planning and execution of regular New Staff Orientation sessions.

  • Able to mitigate stress associated with a busy office and deadlines.

WORK ENVIRONMENT

  • Indoor, office work environment with frequent interruptions and demands.
  • Working with coworkers / clients over the phone, via video conferencing and in-person.
  • Occasional noise and distractions in work spaces.
