Ultimate Staffing is looking for an Order Fulfillment Admin to support our client in San Jose, CA. This is a contract to hire role and a great opportunity to join a company with a great culture!

Order Fulfillment Admin

Full Time position (contract o regular full-time)

Pay Range, $28 to $32.50 hourly, depending on experience

M-F 8am to 5pm

This individual is responsible for all spares orders and the administrative details for rentals, which also includes equipment for demos and trade shows.

This position will also provide support to the Repairs and New Order Admins. This position will take an active role in departmental success by being a positive and productive team member, which includes building and maintaining relationships with customers as well as internal partners and cross functional teams.

Key Responsibilities and essential duties :

To perform this job successfully, the individual must be reliable, have excellent time management skills, ability to balance multiple priorities, pay close attention to details, strong communication, and excellent customer service skills.

This position is responsible for coordinating the documentation, including physical paperwork, for customer rentals and spare orders of geophysical equipment, including data entry, domestic and international shipping, tracking shipment and return of equipment.

Work closely with different departments to ensure orders are processed correctly and the delivery schedule is maintained.

This position will be cross trained to backup or to assist with orders in other areas on a regular basis within the Order Fulfillment and Sales department. Flexibility to

adjust to changing tasks and processes as business needs change.

Required Experience :

  • Ability to read and interpret documents such as customer purchase orders, sales / rental contracts, transport regulations, traffic regulations, safety rules, operating and maintenance instructions, and procedure manuals.
  • High level of accuracy inputting and processing information into an ERP system
  • Solid background in grammar and spelling a must.
  • Ability to effectively communicate (verbal and electronically) with customers and employees of the organization. Daily correspondence regarding an order or in response to customers€ questions or concerns is required.
  • Ability to discern priorities while being flexible when juggling many, often competing, time sensitive tasks.
  • High degree of reliability (accuracy and attendance) especially in pressure situations
  • Strong organizational skills, an eye for detail, a must for scheduling.
  • Maintain a variety of records, such as contracts, insurance certificates, equipment location (filing of electronic and paper documents).
  • Ability to apply commonsense understanding to carry out oral and written instructions.
  • Proficient with MS Word and Excel. Working knowledge of MS Teams, Access, OneDrive, and SharePoint is helpful.
  • Basic math skills.
  • Two to five years of data entry experience using an ERP system.
  • Two or more years of customer service experience
  • At least two years of experience with Domestic and International shipment procedures, documentation, and compliance. (Traffic, Fed Ex, UPS, freight forwarders, CI, SDI, Export, Import, including the use of Carnets, Temp Export / Imports, and Export license
  • Associate degree in Business Administration or a related field from a college or technical school or additional years of experience

In consideration of the physical demands, we have included the minimum requirements :

  • Able to work from our Corporate Office in San Jose, CA on a regular basis
  • Ability to review and input information / data on a computer (8 hours a day with breaks)
  • Must have manual dexterity to operate computer keyboard and standard office equipment
  • Ability to sit, walk, and stand in an office, conference room, and other work environments
  • Able to see and hear to participate in-personal and virtual meetings, with shared computer screens and other remote technology
  • Able to handle, sort, organize, staple, read, and maintain paper and electronics documents and files, current and historic.

Maintaining physical files and scanning documents.

Must be able to lift / push / pull / move objects with hands and arms, between 20-30 pounds, with assistance at waist, shoulder, and knee heights
