Job SummaryWe are in search of a personable, organized, and detail-oriented individual to join our team as an Office Coordinator/Supervisor. In this role, you will be responsible for managing various administrative tasks under the guidance of the Office Manager. The ideal candidate, who is also bright and cheerful, will thrive in a fast-paced environment, possess excellent communication skills, and exhibit a strong commitment to maintaining office efficiency.
Job Responsibilities
  • Create a welcoming environment by greeting guests at the front desk, answering phone calls, directing visitors, and taking messages for employees.
  • Create and distribute company memos via email, letters, or telephone calls.
  • Maintain office security by following safety procedures and controlling access through the reception desk.
  • Order office supplies and maintain an inventory of stock.
  • Coordinate the booking and setup of meeting rooms.
  • Organize and file company documents, either electronically or in a paper filing system.
  • Perform various clerical duties necessary to keep the office running smoothly.
  • Provide comprehensive administrative support to various departments within iHealth Labs.
  • Manage contract and price negotiations with office vendors, service providers, and office leases.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Plan and coordinate travel arrangements for employees as required.
  • Plan and manage in-house or off-site activities such as parties, celebrations, and conferences.
  • Assist in managing office budgets, tracking expenses, and preparing reports as necessary.
  • Address employee queries regarding office management issues (e.g., hardware equipment, travel arrangements).
  • Ensure the office meets all health and safety regulations and protocols.
  • Other administrative and operations related projects as assigned.
Requirements And Skills
  • An associate degree or higher is required; a bachelor's degree in business administration, management, or a related field is preferred.
  • At least 2 years related work experience as a Front Office Representative, Office Admin, or similar role.
  • A minimum of 5 years of related work experience in office administration, with experience in supervisory roles, will be considered as supervisor level.
  • Proficiency in Microsoft Office and Google Suite.
  • Hands-on experience with office equipment (e.g., monitors, televisions, and printers).
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Positive attitude for greeting customers and clients in a friendly and warm manner upon arrival to the office or through the phone.
  • Good written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
