ATTENTION :

Assistant Registrar, Registrar Office

Reports To : Registrar

POSITION :

Assistant Registrar, AE226, 100% FTE, Academic Staff, 12-month renewable / ongoing appointment, one vacancy

POSITION SUMMARY :

Assists in determining the strategic departmental goals, develops tracking metrics, and supports determination of direction for staffing to ensure students receive quality academic services.

May supervise staff and provide professional development opportunities. Organizes and directs clerical and functional operations, within their area of specialization (i.

e. graduation, transcripts, enrollment reporting, and student relations), providing critical support to students, faculty, staff, and third-party agencies and addresses questions or concerns with a solution-based approach.

UW-STANDARD JOB DESCRIPTION DUTIES :

  • Manages and implements policies and activities for a unit.
  • May supervise and lead permanent and provisional staff members who perform duties in support of the unit.
  • Provides staff with timely and challenging professional development opportunities for improving their skills and increasing their effectiveness.
  • Serves as the liaison to institutional stakeholder groups providing student record, curricular, and degree requirement data, and representing the interests of the unit.
  • Evaluates unit effectiveness and provides recommendations for improvement.
  • Consults on procedural and policy implementation questions in accordance with established guidelines.

ADDITIONAL DUTIES SPECIFIC TO POSITION :

Technical / Functional Lead

  • Serve as technical / functional lead for PeopleSoft - Campus Solutions Student Information System (SIS).
  • Serve as technical liaison with the Information Technology (IT) Department.
  • Lead and support implementation of new procedures and / or software and identify impact on Student Records and Academic Advisement areas.
  • Technical support with data request and reporting ranging from Departments to Provost's Office.
  • Manage submission of data to National Student Clearinghouse and UW-System.
  • Monitor PeopleSoft software upgrades and confirm updates are tested and work in conjunction with office processes.

Manage Beginning and End of Term Processing

  • Schedule and assign enrollment appointments, discontinue, term activate, assign advisor, apply enrollment holds, generate communication alerts to students.
  • Open grading rosters for all terms, generate communication alerts to Department Chairs.
  • Run processes : final grades, academic standing, dean's list, post enrollment checking, repeat checking.

Co-Manage Graduation Check and Degree Conferral Process

  • Strong knowledge of curriculum changes and program requirements for majors / minors / certificates.
  • Familiar with reading and updating Academic Advising Reports.
  • Serve as back-up for recording substitutions, waivers, and exceptions.
  • Serve as support for degree conferrals and printing diplomas.

Communication

  • Coordinate query requests for enrollment and student information.
  • Manage Communications Generations (CommGen) automated process.
  • Coordinate with Commencement / Graduation Committee to supply reports and queries for degree completion.
  • Experience in training, development, coaching, mentoring, and retaining a highly motivated team.

Other Duties :

  • Complete required trainings and professional development as assigned.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES :

  • Ability to deal effectively with university faculty, students, administrators, and staff, as well as various outside organizations and agencies in enforcing key university academic policies.
  • Experience in working with high education-high school dual enrollment / dual degree programs.
  • Strong interest in being an advocate for both faculty and students through direct and indirect interaction; i.e. procedural and systems development.
  • Excellent communication, leadership, and organizational skills.
  • Experience managing complex records systems and computer systems development in a registrar's office or admissions office (specific experience with Peoplesoft preferred)
  • Successful supervisory experience in a people-oriented environment
  • Trained in the use of Campus Solution (People Soft); ability to investigate Campus Solutions functionality and train others on the functionality of the system.
  • Ability to commit to the highest ethical standards while working with confidential and sensitive information and student records.
  • Ability to interpret and explain procedures and policies for staff, faculty, students, families and administrators.
  • Ability to demonstrate good judgment and analysis in decision-making and problem-solving.
  • Ability to work with a diverse population.
  • Ability to establish and maintain positive interpersonal relationships with students, faculty, staff, and others.

REQUIRED QUALIFICATIONS INCLUDE :

  • Bachelor's degree from an accredited institution
  • Two years of experience in an education environment with postsecondary student records, advising, admissions, registration, or records management
  • Experience working with a student information system (SIS) such as PeopleSoft, Jenzabar and / or Banner or similar applications.

This position is currently ineligible for H1-B sponsorship. A qualification for this position includes independent eligibility to work within the United States upon hire date.

DESIRABLE QUALIFICATIONS INCLUDE :

  • Master's Degree from an accredited institution
  • Experience working in a Registrar Office or a similar role in a university or college setting
