With an unwavering commitment to environmental responsibility, we embarked on a mission to develop a proprietary sustainable composite formula utilizing wheat straw, a by-product derived from wheat grain harvesting. Our primary goal is to harness the abundant annually renewable materials found throughout the USA, offering an eco-friendly alternative to wood in conventional composite materials, commonly known as WPC (Wood Plastic Composites). Overview:

The Office Manager Assistant will support the Accounting and Office Manager in various administrative and financial tasks. This role requires proficiency in computer work, particularly with Microsoft Office (Excel, Word, Outlook), and will involve extensive use of Fishbowl and QuickBooks. The ideal candidate will have an accounting degree or a similar qualification.

Key Responsibilities:

Administrative Assistance:

• Assist the Accounting and Office Manager with daily administrative tasks.

• Manage office supplies and coordinate office activities.

• Schedule and coordinate meetings, appointments, and travel arrangements.

• Example: Organize weekly staff meetings and ensure all necessary materials are

prepared and distributed.

Fishbowl and QuickBooks Support:

• Perform data entry and management tasks in Fishbowl, our inventory management system.

• Assist in maintaining accurate financial records and performing routine checks in QuickBooks.

• Generate and manage reports as required by the Accounting and Office Manager.• Example: Create monthly inventory reports to track stock levels and identify discrepancies.

Accounts Receivable and Payable:

• Help with the preparation and sending of invoices using QuickBooks.

• Assist in tracking incoming payments and follow up on overdue accounts.

• Support the processing of accounts payable, ensuring timely and accurate payments to vendors.

• Reconcile accounts payable and receivable transactions.

• Example: Monitor and update the status of invoices and payments in QuickBooks to maintain accurate records.

Shipping and Order Fulfillment:

• Assist in coordinating shipping and order fulfillment tasks.

• Use Fishbowl to generate shipping labels and necessary documentation.

• Ensure that shipping details are updated in Fishbowl and QuickBooks.

• Example: Confirm shipping schedules with logistics partners and update the system with tracking information.

Document Management:

• Ensure proper management and storage of company documents.

• Maintain and organize both digital and physical records as required.

• Example: Implement a filing system for easy retrieval of important documents and records.

Financial Reporting:

• Assist in generating financial reports, including profit and loss statements, balance sheets, and cash flow reports.

• Provide data and support for financial analysis as required by the Accounting and Office Manager.

• Example: Compile data for monthly financial review meetings and highlight key

financial metrics.Compliance and Regulatory Support:

• Assist in preparing and filing tax returns and ensuring compliance with local, state, and federal regulations.

• Help ensure all office and financial activities comply with industry regulations and

company policies.

• Example: Stay updated on regulatory changes and assist in implementing necessary adjustments to maintain compliance.

Training and Development:

• Participate in training sessions for Fishbowl and QuickBooks to ensure proficiency in these systems.

• Stay updated on best practices and new features related to the software used.

• Example: Attend webinars and training workshops to enhance skills and knowledge of accounting software.

Skills and Qualifications:

• Proficiency in Microsoft Office, especially Excel, Word, and Outlook.

• Familiarity with Fishbowl and QuickBooks (training will be provided).

• Strong organizational and time management skills.

• Excellent attention to detail and accuracy.

• Effective communication and interpersonal skills.

• Ability to work independently and as part of a team.

• Preferred: Accounting degree or similar qualification.
