The City of Walla Walla offers a comprehensive benefits package including medical, vision, and dental health insurance. City
paid $50,000 Life/Accidental Death & Dismemberment insurance plus voluntary Life and Long-Term Disability. Washington
State Public Employees Retirement Program (PERS) II/III. City match up to 3.5% of base salary for deferred compensation
(457(b)). 3% bilingual Spanish premium. Generous vacation leave, sick leave, and ten (10) paid holidays plus 40 hours
floating holidays annually.
NATURE OF POSITION:
Plan and perform complex administrative office coordination to ensure smooth, timely and efficient office
operations for the department. Perform clerical and administrative duties having department-wide impact;
perform receptionist, public relations, and other related office support activities. Maintains strict confidentiality.
REQUIRED MINIMUM QUALIFICATIONS:
Two years of college-level course work in business administration, office management, administrative assistant
training or related field and three years of increasingly responsible administrative office support experience, or
any equivalent combination of education and experience.
DESIRED QUALIFICATIONS:
Bilingual in Spanish.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Employees of the City of Walla Walla are expected to model and foster the City’s core values:

2. Composes, prepares, and edits a variety of correspondence, memos, reports, and other materials;
conducts a variety of studies involving programs, systems, operations, special projects, issues, or
activities of the assigned department; research, analyzes, and prepares recommendations for supervisor
review.
3. Organizes and coordinates office functions, activities, and communications with departmental staff and
special groups; provides administrative support; attends meetings, types minutes, and prepares reports,
agendas, and other materials.
4. Maintains financial records and files about departmental operations, programs, expenditures, and
budget balances; prepares status reports, charts, and graphs as requested; assists with the preparation
of budgets; may maintain complex financial records and files about departmental expenditures.
5. Drafts or edits staff reports for City Council to ensure accuracy and completeness of report content,
readability, clarity, adherence to policies and procedures, and proper use of grammar.
6. Ensures the department's records are properly maintained, archived, prepped for destruction, and
destroyed per established requirements; ensures the record and working file organization and storage
are efficient and consistent throughout the department; ensures responses to records requests are
fulfilled timely and accurately.
7. Provides customer service and communicates with internal and external customers by answering
phones, greeting visitors, providing information, and receiving and processing customer requests and
complaints. Exercises discretion in disseminating information, explaining policies and procedures, and
responding to questions as authorized by the Director.
8. May maintain schedules and calendars and arrange meetings and travel details.
9. Maintains confidentiality in matters that require such or are sensitive, such as payroll, budget
forecasting, and economic development projects.
10. May provide back-up for additional areas of responsibility including but not limited to accounts
receivable, accounts payable, and utility billing.

KNOWLEDGE, SKILLS, AND ABILITIES:
TOOLS AND EQUIPMENT USED:
Operate a variety of office equipment, including personal computers, telephones, copiers, printers, scanners,
and calculators. Utilize standard and customized software, including Office and Excel.
PHYSICAL DEMANDS:
Sitting and standing for extended periods of time; seeing, hearing, and speaking to exchange information;
repetitive hand movements; intermittently stand, walk, bend at the waist, and lift up to 20 pounds.
