Job Title: Elementary Executive Assistant - Temporary Location: Springbrook Elementary
Class Title: Regular - Non Exempt - Non-UnionEffective Date: 08/01/2024
Salary Range:  $ 25.00/hrHours per week: Full Time

General Statement: The incumbent serves as executive assistant to an Elementary School Principal: managing important administrative details including correspondence, electronic communication to and from district and school administrators, school staff, parents, community members and students. This position resolves routine matters within the school, maintains confidential and public records and data and may be required to generate reports, and support teaching staff. This position requires vigilant adherence to the maintenance of confidentiality and discretion with regard to student and staff issues and activities.
Responsibilities: 

  • Provide executive level clerical support and serve in an advisory or consulting role to other clerical/building aide staff, as assigned.
  • Gather information, maintain records and produce reports; 
  • Independently manage a wide range of administrative details; 
  • Exercise a high degree of initiative and good judgment; working knowledge of a variety of automated office equipment 
  • Understand, follow and communicate complex written and verbal instructions.
  • Assist Administrator with communication of important administrative details. 
  • Compose a wide range of routine and unique correspondence; not limited to letters, flyers, brochures, spreadsheets, PowerPoint presentations, school publications, etc.
  • Finalize other correspondence from written drafts or verbal instruction. 
  • Coordinates events and meetings.
  • Maintain electronic routine and special reports as required.
  • Coordinates conferences and meetings with public officials and with representatives of the public, consumers, providers, professionals and related organizations.
  • Respond to a wide range of verbal and written inquiries of an administrative nature, excepting any that require interpretations of policies and procedures.
  • Greet and screen visitors using the building security system, providing responses to inquiries whenever possible.
  • Open, organize and review correspondence, memoranda, statements, forms and records for content and compliance with district policies and administrative protocols and procedures.
  • Process purchase order requests and check requests for the administrator and, if necessary, other school officials.
  • Perform other related duties as required.

Qualifications:

  • Experience:
    • 3-5 years of experience with office methods, practices, procedures and terms.
    • 3-5 years of experience composing and transcribing correspondence, minutes and reports.
    • 1 year working in a school environment.
  • Education:
    • High School Diploma or equivalent required. 
    • Associates degree in business preferred.
