SUMMARY: Under the direct supervision of the Chief Operations Officer (COO), this person performs diverse administrative duties for the This position requires a high degree of professionalism, confidentiality, and loyalty to the health center's mission. The Administrative Assistant will thrive in a fast-paced environment with great adaptability, organizational and time management skills. STANDARD RESPONSIBILITIES:
Knowledge and understanding of Employee Handbook.
Carry out the meaning of the CSMD Mission and Vision statements.
Practice a culture of safety to reduce or prevent risk of injury, claims, loss or liability by utilizing the Risk Management and Infection Control Plan.
Perform responsibilities with a high-quality standard to yield improved compliance, quality, and patient outcome measures by adhering to the Quality Improvement Plan.
Be present and ready for work as scheduled.
Attend in-service trainings, departmental meetings, and community events.
Work cohesively with team members.
CORE RESPONSIBILITIES:
Prepare reports, letters, and memos as requested by the Chief Operations Officer and/or key management and distribute as indicated.
Handle sensitive and confidential materials.
Maintain confidentiality of workplace information according to the policies and procedures of the institution.
Manage Chief Operations Officer calendar and coordinate internal and external meetings.
Assist Chief Operations Officer in grant writing activities and other projects of an operational and fiscal nature.
Maintain a neat, orderly, and confidential work area keeping files, faxes, correspondences, and other key information in a secure environment.
Assist in the coordination of in-service and off-site education and training for Board Members.
Participates in CQI activities.
Maintain administrative supply inventory by processing ordering of supplies on a monthly or as needed basis.
Responsible for coordinating purchasing requisitions for the Chief Operations Officer.
Perform other duties as assigned.
REQUIREMENTS
An Associate Degree is required. Three years of administrative experience will substitute for the Associate's Degree.
Bachelor Degree preferred.
The position requires a minimum of three years' experience in office management to include advanced level computer experience with proficiency in Microsoft Office products.
Excellent verbal and written communication and interpersonal skills.
Must have outstanding organizational and time management skills.
Must be able to effectively resolve conflicts.
Performs all job responsibilities in full compliance with all applicable laws, rules, regulations, policies and procedures.
