Job description
Nu-Wool Co. Inc., a long established, privately owned, leading manufacturer of cellulose insulation and other green products, located in Jenison, MI has a job opportunity for a full-time Customer Service /Office Assistant.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Front Office Duties:
First person to answer incoming telephone calls, determines the purpose of callers and forwards the calls to the appropriate personnel.
Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
Answers questions about organization and provides callers with address, directions, and other information.
First person to welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel. Monitor visitor access and issue passes when required.
Stocks supplies in plant break room as well as front office kitchen and upstairs conference room daily. Orders and stock all office supplies.
Take orders at the counter, email, or from the phone calls; back up customer service representative.
Retrieves and routes incoming faxes.
Responsible for copier and printer maintenance; including ordering supplies, maintaining users, requesting service/maintenance as needed.
Assist in month end documenting by copying bills for general ledger accounts; including 1319,
1100 1699, legal bills and others as needed.
Create and maintain departmental forms on main server.
Update and distribute company phone directory and extension list as needed.
Create labels for warehouse paper inventory as needed.
Receives all daily mail, sorts, date stamps, and distributes to the appropriate person.
Collects all outgoing mail, creates mailing labels, applies proper postage and brings mail out to the mailbox daily.
Responsible for postage machine, including ordering postage and supplies, and scheduling maintenance as needed.
Monitor petty cash ins and outs.
Process signed checks for mail and file stubs/vouchers.
Maintain internal phone system. Includes, keeping list of changes internally, contact for service when needed, assist individuals with voicemail and other operational questions.
Communicate with vending machine vendors regarding products or lost money.
Office Support Duties:
Collects credit card receipts and reconciles monthly credit card statements. Order company gas cards and other company credit cards as needed.
Matches A/P checks to approved invoices. Submit checks to President for signing.
Process signed checks for mail and scan into ERP and file stubs/vouchers.
Process approved credit card payments for bill payments bi-weekly.
Maintain general mailbox. Receives messages left, forward them on to the correct person. Is also responsible for updating the mailbox greetings for Nu-Wool and CMS and setting up night ring.
Prepare labels for paper inventory tracking.
Fill literature orders for customers and work with Marketing on material reorder points.
Special projects may be assigned, including but not limited to creating master procedure books for company and department.
Additional duties as requested by supervisor.
