Calculated Hire is seeking an Administrative Assistant III for our Fortune 100 Financial Services Company. You will play a critical role in supporting the efficient functioning of our organization. Your responsibilities will encompass a wide range of administrative tasks, requiring strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Job Description:

  • Provide comprehensive administrative support to various teams or executives within the company.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit documents, reports, and presentations.
  • Handle confidential information with discretion.
  • Handle complex tasks such as expense reporting, budget tracking, and project coordination.
  • Proactively identify opportunities to enhance administrative processes and tools.
  • Collaborate with other administrative professionals to share best practices.
  • Present ideas for streamlining workflows and improving efficiency.
  • Interact with client personnel, both internally and externally, to address inquiries and provide information.
  • Serve as a point of contact for escalated questions, demonstrating professionalism and excellent communication skills.
  • Build and maintain positive relationships with clients.

Required Qualifications:

Experience: A minimum of 4 years of administrative support experience is required. This can be demonstrated through work experience, consulting roles, military service, or relevant education.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Front-office experience is a plus.
