Allevia Technology is Hiring a Financial Administrator Near Maryville, TN

We are currently seeking a meticulous and experienced Finance Administrator to join our team. This role is integral to our financial operations, ensuring the timely receipt of client payments, accurate creation of monthly invoices, and effective collaboration with account managers. The Finance Administrator will play a key role in maintaining healthy cash flow and fostering excellent client relations, while also creating and running reports on client and project profitability.

Position: Finance Administrator

Primary Responsibilities:

  • Monthly Invoicing: Prepare and distribute monthly invoices to clients, ensuring accuracy in all billing information, including rates, quantities, and terms.
  • Payment Processing: Receive, verify, and accurately record payments from clients via various methods (credit card, ACH draft, or check). Reconcile payments with outstanding invoices.
  • Collections: Initiate collections activities when necessary, including sending reminder notices, making collection calls, and escalating overdue accounts to higher management as per company policy.
  • Autopay Maintenance: Manage and update autopay information for clients who have opted for automatic payment arrangements. Monitor the status of autopay accounts and resolve any payment discrepancies.

Secondary Responsibilities:

  • Project Billing: Collaborate with internal resources to build any projects paid for via a quote. Handle the billing process for project work, including receiving initial payments for project quotes and generating a project closeout invoice.
  • Accounts Reconciliation: Regularly reconcile accounts to identify and rectify discrepancies, variances, or unapplied payments. Investigate and resolve any billing or payment discrepancies.
  • Documentation: Maintain accurate records and documentation related to accounts receivable transactions.
  • Collaboration: Work closely with account managers to address client inquiries, discrepancies, and payment issues. Provide exceptional customer service and resolve issues in a timely and professional manner.
  • Profitability Analyses: Work closely with Division Leaders to examine client and project profitability.
  • Cash Flow Planning: Understand and use tools to demonstrate how cash flows through the business.
