Reeves Regional Health is Hiring a Facilities: Administrative Assistant Near Pecos, TX

Description

General summary: 

Under limited supervision, performs duties to assist the Facilities Director. Maintains equipment histories, repair parts orders and invoice reconciliation, vendor outreach, contracts management to include work orders, filing, summaries and reports. Maintains inventory of Maintenance/Security Department and performs all other duties that may be asked.

All RRH employees must perform their job responsibilities according to all RRH Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.

Essential Duties and Responsibilities:

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. They are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  1. Assist in coordinating and supporting Facilities Department.
  2. Follows codes, standards, and maintenance standards during job execution
  3. Ensures compliance with quality assurance measures which monitor the consistency and quality of services provided by the Facilities staff. 
  4. Monitors timeliness of equipment inspections by the vendors to ensure efficient staff responsiveness and reduce equipment down-time; Reviews potential safety hazards of equipment regularly, and documents actions taken to eliminate them; Performs regular checks of all medical equipment for accuracy and efficiency of operation; Reviews and documents acceptance standards violations for newly purchased/rented/leased/loaned equipment under consideration for use at Reeves Regional Health.
  5. Contacts the various contracted equipment service suppliers to resolve problems. 
  6. Assures accurate and efficient maintenance of departmental records and reports, such as, Maintenance Requests, files and relevant departmental performance statistics in accordance with Federal, State and local regulations.
  7. Maintains professional growth and development through participating in in-service training, external seminars, workshops, conferences, professional affiliations and related activities/events.
  8. Performs related duties, as assigned.

Requirements

 Job Qualifications:

1. An Associate's degree in Office administration or related discipline or commensurate. Combination of education and experience, is required. OR High school graduate

2. A minimum of one years of technical administration experience, performing clinical or biomedical administration work.

3. Knowledge of the principles and practices of healthcare operations, database management, and MS office applications.

4. Ability to lift up to 25 lbs., approximately 20% of the time. Ability to push/pull equipment in order to install or remove same Approximately 20% of the time. Ability to stand and walk each approximately 50% of the time in the process of performing the responsibilities of the position.

5. Highly effective verbal and written communication skills are required to work with diverse levels of management and clinical staff, external vendors and to supervise employees.

6. Able to create and manage databases, spreadsheets and presentations.

7. Detail oriented

Working Expectations 

· Ensures inventory is current and complete.

· Ensures parts inventories are accurate and practical.

· Registers new equipment to Hospital Inventory 

· Database.

· Maintains Service Manual Inventory.

· Maintains QA/QI and Safety Reports.

· Tracks work orders.

· Maintains IT, Bio-Med, and Safety file system.

· Verifies undocumented equipment.

· Maintains list of medical equipment demos, loaners

· And warranties.

· Maintains Waste Management Documentation.

· Maintains organization of Facilities Department.

· Answers phone and takes messages. 

Patient Safety

Ensures patient safety in the performance of job functions and through participation in hospital, department or unit patient safety initiatives:

1. Acts to correct observed risks to patient safety

2. Reports adverse events and near misses to appropriate management authority

3. Implements policies, procedure, and standards consistently in the performance of assigned duties

4. Develops effective working relationships and maintains good communication with other team members

5. Identifies possible risks in processes, procedures, devices and communicates the same to those in charge
