Detailed Job Description
  • Structure budget process and establish internal controls to monitor operations and limitations for each budget.
  • Partner with Sr. Financial Analyst, NTID Finance and Budget Office, SPA, and RIT Accounting to set up new project accounts in Oracle.
  • Understand and apply appropriate accounting processes.
  • Analyze and reconcile budget accounts monthly, confirming accuracy of data and timely completeness of financial reporting.
  • Examine documents to determine that transactions are properly supported in accordance with NTID and RIT policies and procedures.
  • Initiate corrective action or recommend solutions as appropriate.
  • Provide financial projections that include future commitments and their potential impact.
  • Strategize to balance existing funds or consider other resources.
  • Serve as a resource and liaison between NTID departments and RIT accounting and procurement offices.
  • Provide training and education to colleagues, adjusting strategies as necessary.
  • Work with NTID Employee Administrator to review financial activities of applicant search processes.
  • Manage online transactions for department procurement cards; review and reconcile NTID President's Office card.
  • Serve as journal entry designee for NTID; review and process journal entries in Oracle for other NTID departments as assigned by the RIT accounting dept.
  • Monitor, track tax implications, reconcile and report on faculty tuition reimbursements.
  • Manage the financial aspects of FEAD awards.
  • Develop and implement continuous improvement plan for administrative and operational processes, policies and procedures.
NTID Finance and Budget Office Support
  • Manage Finance and Budget Department PNC card, monthly reconciliation, approval and submission.
  • Coordinate necessary paperwork, approvals and related correspondence for NTID operating department name changes, budget authority changes, and financial approver changes.
  • Provide support/training to NTID budget admins on monthly budget reconciliations, processing of PCMs, and assistance with completing year end tasks. Prepare and present training to NTID support staff.
  • Assist Finance and Budget office staff with accrual and transfer JEs.
  • Other related projects/tasks as necessary.
Administrative Responsibilities:
  • Manage ten fully-furnished NTID apartments.
  • Manage the NTID Information desk and phone line.
  • Manage the capital equipment and information security inventories for the President's Office and for the Associate Vice President of Academic Affairs Office.
  • Oversee ordering of office supplies and maintain supply inventory.
    • Reallocate expenses to appropriate department budget after purchases. (Academic Affairs, Finance & Budget.
  • Organize office equipment purchases, maintenance and alarm issues.
  • Coordinate telephone installation/repairs and budget reporting.
    • Manage directory changes: office moves, employee additions, and deletions.
  • Participate in all NTID events hosted by the President's Office (Graduation, Retirement, Length of Service, NAG, Academic Awards Ceremony, Student Research Fair, Convocation, etc.)
  • Serve as back-up support for the following staff in the NTID President's office.
    • Executive Assistant to the President
    • Sr. Staff Specialist
    • Staff Assistant for Room Scheduling

Minimum Qualifications
  • 5 years of work experience required. Experience should include successful management of budgets and demonstrated administrative skills.
  • Strong organizational skills needed.
  • Comprehensive knowledge of accounting principles and practices.
  • Excellent communication skills in a diverse, multicultural environment that incorporates a blend of Hearing and Deaf Cultures as well as multiple ethnic cultures.
  • Strong analytical skills.
  • Ability to work collaboratively with administrators, faculty, staff, colleagues and departments including training and consensus building.
  • Capable of influencing and motivating others in a positive manner.
  • Skilled in American Sign Language or willingness to learn.
  • Proficient with MS office including Excel, Word and Outlook.
  • Competent in maintaining confidentiality.
  • Knowledge of accounting protocols/practices/procedures
  • Competence with online financial applications, online time keeping, and online applicant tracking system.
  • Microsoft Office suite
  • Ability to set priorities, handle multiple tasks simultaneously and to work independently with minimal supervision.
