Adventure Theatre MTC is Hiring an Operations Manager Near Rockville, MD

The Operations Manager (OM) assists Senior Staff with administrative operations and managing cross-departmental tasks. The OM will work report directly to the Managing Director, but will assist the Academy Director, Communications Director, and Artistic Director in various capacities, including managing social media marketing, tracking data and deadlines for Development and Communications, managing a casting database, and acting as the primary point of contact for the Academy as Registrar. 

The Major Responsibilities of the Operations Manager include:

Administrative

· Assist Managing Director with payroll and data management for organization, including

o Production data

§ Ticket sales, Field Trip Partner schools, population and geographics areas served, impact quotes/statements from patrons

o Academy data

§ Students registered, population and geographic areas served, impact quotes from students/parents, feedback from students and parents to inform future programming

· Ensuring staff coverage for rentals at Wintergreen Plaza, in coordination with Director of Production

o Once rentals are contracted, OM will schedule and ensure that rental customers have staff support when they are on-site

· Assisting Managing Director with payroll for contractors (familiarity with Bill.com a plus)

Academy

· Building all Academy Programming in Tessitura (CRM) to be made available online

· Monitoring Class Enrollment and manage reports from Tessitura (CRM)

o Creating and printing rosters and sign-in sheets for all programing

o Updating and distributing Weekly Academy Sales Report

· Be the point of contact for parents of all programs at the academy, including of-site (OOST)

o Sending Welcome Emails and updates throughout the semester/session;

o Answering email and phone questions from parents about anything ATMTC Academy

o Redirect questions meant for Teaching Artists, Box Office, or another department (and vice-versa)

o Helping parents navigate the registration process

· Maintaining/updating all the Academy Calendars and Weekly Studio Schedule for Academy Classes each Fall, Spring and Summer.

· Ordering supplies for Wintergreen Plaza facility and monitoring the corresponding organizational budget line item(s)

· Being the front desk associate during class/camp hours, workshops, and auditions.

· Ensure all areas at Wintergreen location are clean, well kept, and studios are set up correctly every day

· Provide administrative support to the Academy Director and Program Manager, teaching artists, instructors and other departments as assigned;

o Teaching Artists contracts

o Print out of materials

o Putting information together for catalogues and other marketing materials

Development

· Maintaining calendars for foundation and corporate deadlines (applications, reports, etc.)

· Assisting with grant writing

· Maintaining data for organization, for grant purposes (see above in Administrative)

Communications

· Create of-the-moment content for social media accounts for the Academy and occasionally the Theatre. Work with Communications on a plan/calendar of social media content.

Artistic

· Maintaining casting database of local performers

  • · Assisting Academy and Artistic at open calls and other auditions throughout the season
