San Jose Museum of Art is Hiring a Human Resources Manager (part-time) Near San Jose, CA

Job Summary

The San José Museum of Art (SJMA) is seeking a highly motivated individual for an exciting part-time, 25 hours per week, Human Resources Manager position. Minimum of three days per week on-site. As the sole HR professional, you will have the opportunity to shape, refine, and maintain a professional HR department, and will join a small team of dedicated, creative professionals.
Reporting to the Executive Director, the Human Resources Manager is directly and solely responsible for managing the HR function. This role encompasses all administrative HR duties, in addition to workers’ compensation, benefits, leaves of absence, policy and handbook updates, performance reviews, legal compliance, recruiting, training, onboarding/ offboarding, terminations, employee investigations, employee relations and various projects, as needed. The position also plays a pivotal role in fostering and upholding SJMA’s values of Collaboration, Care, Curiosity, and Inclusion, ensuring they are deeply integrated into every aspect of the organization’s operations and practices. Additionally, the position serves as the designated Custodian of Records for LiveScan fingerprint results, requiring confirmation by the Department of Justice (DOJ). The position requires considerable independent judgment to determine appropriate actions, as well as the ability to work independently, use initiative, and make substantive decisions quickly.

Duties and Responsibilities:

  • Perform and manage all activities within the HR department, including administrative tasks.
  • Administer leaves of absence, including FMLA/CFRA, ADA, and other statutory leaves, ensuring compliance with applicable laws and regulations.
  • Handle employee relations issues and facilitate performance improvement plans as needed; conduct investigations in accordance with company policies and procedures, and applicable laws.
  • Oversee workers' compensation program, including claims handling and resolution, regulatory compliance, and collaborate with broker to optimize experience modification rate.
  • Implement and update compensation program annually; develop and maintain job descriptions.
  • Participate in industry-wide salary surveys, develop salary budgets, and analyze compensation structures.
  • Administer benefits, including claims resolution, change reporting, invoice approvals and billing reconciliation.
  • Maintain and revise organizational policies and procedures, including regular updates to employee handbook.
  • Manage recruitment process for all exempt and nonexempt positions.
  • Write and place job advertisements. Screen and interview candidates in collaboration with supervisors.
  • Conduct reference checks, prepare and extend job offers, conduct new hire orientations, and administer background checks.
  • Manage data in ADP’s Workforce Now, and produce HR-related reports, such as headcount and turnover.
  • Establish, administer and maintain department records, reports and both physical and digital HR files, maintaining confidentiality.
  • Assess company-wide training needs and propose, develop and deliver training programs for staff at all levels.
  • Ensure compliance with all federal, state, and local employment laws.
  • Take ownership of various HR projects, identifying needs, planning, and execution of all phases.
  • Other duties as assigned.

Qualifications

  • Bachelor's degree (B. A.) from four-year college or university, and 3 years’ related experience and/or training; or equivalent combination of education and experience.
  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) credential, or HRCI’s (S)PHR certification preferred.
  • Experience as the sole HR practitioner in a similarly sized organization required.
  • Excellent written and verbal communication skills essential, and proven experience leading meetings and trainings.
  • Solid, hands-on experience with HR database administration using ADP’s Workforce Now essential.
  • Excellent computer skills including Word, Excel and PowerPoint.
  • Serve as SJMA's designated Custodian of Records for LiveScan fingerprint results, requiring confirmation by the Department of Justice (DOJ).
