The Position: We are looking for a
Project Billing Specialist located in
Orlando . This role will have 2 years of experience with billing and tracking project financial status. This candidate will have experience taking a "hands on" role, and should demonstrate exceptional interpersonal skills, strong organizational and communication skills, and thrives in a collaborative work environment. Construction experience is preferred; however, we welcome those who are eager to learn.
Primary responsibilities include: Project Set-up and closing
- Set up new projects using accounting software.
- Run credit reports for prospective and existing clients.
- Close out projects using accounting software.
Project Invoicing
- Generate and review project invoices to ensure accuracy and compliance with contract terms.
- Coordinate with project managers to obtain necessary documentation for invoicing.
- Maintain a thorough understanding of project scopes, deliverables, and billing milestones.
Billing Compliance
- Ensure adherence to client billing guidelines and contract requirements.
- Collaborate with project managers and other stakeholders to resolve any billing disputes or discrepancies.
- Conduct regular audits of billing processes to identify areas for improvement and optimization.
Budget Monitoring
- Work closely with project managers to monitor project budgets and expenses.
- Alert management to potential budget overruns and assist in implementing corrective actions.
- Provide financial analysis related to project performance and billing trends.
Client Communication
- Act as the primary point of contact for clients regarding billing inquiries and clarifications.
- Establish and maintain positive relationships with clients to enhance communication and resolve any billing-related issues.
- Investigate and resolve discrepancies or variances between clients and company's billing records.
Reporting and Documentation
- Prepare and maintain detailed billing documentation and records for audit purposes.
- Generate regular reports on project billing status, billings forecasts, and key financial metrics.
- Provide necessary information and documentations for the month-end and year-end close processes.
- Other accounts receivable related reports as requested.
System Utilization
- Utilize accounting and billing software to streamline processes and maintain accurate financial records.
- Assist in the implementation and improvement of billing systems and procedures.
Primary qualifications include: - 2 years of experience in billing or a similar role.
- Familiarity of Arriba and AIA Billing process.
- A self-starter who enjoys working in a large team environment.
- Possessing exceptional communication and interpersonal skills.
- Displaying strong attention to detail, while having the ability to make quick, informed decisions.
- Ability to work within an environment with deadlines, and when tasked with multiple duties your attention to detail stays consistent.
- Having the ability to work under pressure within a fast-paced environment.
- Remain mindful of sensitive information.
- Performing efficiently in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint).
- Working with others within the organization with a positive, helpful attitude; taking ownership of the role and seeking ways to improve processes.
- Demonstrated experience working with Unions is preferred.
- Experience with Microsoft Navision, Arriba and payment/billing software a plus.
- Experience in the construction industry is a plus.
