Job Summary:

The Manager Clinic Operations is a leadership role with comprehensive operational authority and responsibility for designated clinics. Responsibilities include: fiscal accountability, maintaining quality and regulatory standards, maintaining a high level of patient/family centered care and service, patient and staff satisfaction, program development, managing and enveloping teams, and ensuring integration with the clinical enterprise. Proceeds feedback, coaching and mentoring to less experienced peers and other members of the healthcare team, collaborating closely with nursing.

KEY RESPONSIBILITIES

  • This is a prominent position in a rapidly growing department that should appeal to career-minded professionals looking for an opportunity to increase the scope and complexity of their work.

  • This position forms the bridge between department strategy and front-line operations, requiring a strong understanding of the fundamentals of clinical operations such as patient scheduling, referrals, and insurance authorizations.

  • Provides high-visibility leadership to a staff of roughly 50 team members across four locations in the Nashville Metropolitan Area. The team is expected to grow to 75-85 people within the next 1-3 years, and the manager will have primary responsibility for selecting their team members.

  • This position reports to the Associate Operating Officer for the Otolaryngology Patient Care Center and has accountability to the Department Chair and Executive Medical Director. As a member of the Otolaryngology clinical leadership team, the manager prepares for and participates in clinical leadership meetings with faculty, clinical, and administrative leadership.

  • The successful manager is expected to make appropriate, independent decisions within scope and escalate issues along with recommended solutions when required.

  • Collaborates with the Nursing Manager to allocate staff and resources across all locations to meet operational goals.

  • Prepares annual operating and capital budgets following established guidelines and using benchmark data, and performs variance reporting to operational targets.

  • Develops and monitors the implementation of area specific quality plans linked to organizational goals.

TECHNICAL CAPABILITIES

  • Analytics (Advance): Ability to generate and use data to make operational decisions. Experience with queuing theory and the use of simulations/modeling to inform decision making and resource allocation. Fluent in MS Excel and proficient in at least one programming language/software package such as Stata/R/Python or simulation software such as FlexSim HC.
