GENERAL DESCRIPTION
We are seeking an experienced Office Manager to join our team. As the Office Manager, you will play a crucial role in ensuring the smooth running of our office operations. You will be responsible for overseeing administrative activities and providing support to various departments.
The ideal candidate is highly organized, detail-oriented, and possesses excellent communication skills. You should be able to multitask effectively, prioritize tasks, and handle confidential information with utmost professionalism. A proactive attitude and the ability to work independently are essential for success in this role.
RESPONSIBILITIES
· Oversee and manage day-to-day office operations, including managing office supplies, equipment, and facilities.
· Coordinate and schedule meetings, appointments, and travel arrangements for executives and staff.
· Assist in budget preparation and tracking, ensuring that expenses are within allocated budgets.
· Support HR functions by handling employee records, processing payroll, and managing benefits administration.
· Maintain the office filing systems, both physical and digital, ensuring documents are organized and easily accessible.
· Manage and monitor office expenses, negotiate with suppliers to ensure cost-effectiveness.
· Handle incoming and outgoing correspondence, including mail, emails, and phone calls, in a timely and professional manner.
QUALIFICATIONS
Education
· High school diploma or equivalent
Requirements
· Proven experience as an Office Manager or in a similar role
· Strong organizational and time management skills
· Excellent verbal and written communication skills
· Proficient in Microsoft Office suite and office management software
· Ability to multitask and prioritize tasks effectively.
· Familiarity with HR processes and procedures
· Attention to detail and problem-solving skills.
Skills
· Ability to prioritize work, meet deadlines, and handle multiple projects simultaneously.
· Ability to communicate in English and Spanish.
