Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Front Desk Manager/Receptionist. As the first point of contact for our company, you will play a crucial role in providing excellent customer service and ensuring smooth office operations while supervising the front desk and virtual front desk staff. Position Purpose:

Under the direction of the Director of Operations, the Front Desk Manager/Receptionist (FDM) requires a minimum of 5 years of front desk management experience and will oversee all Front desk employees in the clinic, virtually, and assist in providing support to patients, incoming calls from patients, potential patients, and/or employees. The FD Lead will provide excellent customer service to all patients, employees and handle any patient issues that arise from the front desk. This position provides support service to patients at the highest level of professionalism and respect. This position will also identify problem areas and suggest workflow changes as needed. FD Lead will provide day-to-day oversight of FD staff and patient engagement.

Essential Functions ad Responsibilites:

  • Must be able to work M-F 9am - 6pm
  • Performs all the normal front desk duties including, but not limited to, answering phones, check-in patients, confirm all IE appointments and ensure paperwork is completed prior to the appointment, detailed notes in EMR, complete intake for walk in new patients, confirm all appointments, patient portal sign-up, collect copays/deductibles/balances, input referrals into medical groups based on provider requests and medical records requests.

  • Supervise the front desk team and lead by example when providing customer service that is aligned with IMOC’s mission and core values.
  • Assists with general clerical/administrative duties as needed, including, but not limited to, answering phones, check-in patients, confirm all IE appointments and ensure paperwork is completed prior to the appointment, detailed notes in EMR, complete intake for walk in new patients, confirm all appointments, patient portal sign-up, collect copays/deductibles/balances, input referrals into medical groups based on provider requests and medical records requests.
  • Manages FD schedule and when needed, establish, modify, implement, and monitor systems and procedures to enhance timely and efficient workflow.
  • Direct, train, and oversee the front desk team on daily performance.
  • Promote working relationships between all staff.
  • Assist in identifying patient concerns and complaints and then apply a solution.
  • Handle employee disciplines in a timely manner.
  • Identifies problem areas and taking appropriate corrective actions.
  • Ensure all front office staff is adhering to organizational policies and procedures and government regulations (HIPAA, OSHA)
  • Other job duties as assigned such as weekly checklist

Required Skills:

  • Strong office management skills
  • Minimum of 5 years of front desk management experience
  • Excellent detail management and ability to mulittask
  • Experience in administrative tasks
  • Knowledge of medical receptionist duties is a plus
  • Familiarity with computerized systems for data entry and record keeping
  • Excellent communication skills
  • Ability to coordinate multiple projects simultaneously
  • Strong clerical skills, including typing, filing, and organizing documents
