Position Summary and Responsibilities
This position provides administrative assistance and operational support for the Exploring Transfer (ET) Summer Program at Vassar College. Through a five-week residential program and immersion in the liberal arts, Exploring Transfer enables community college students to imagine a broader range of academic opportunities than might otherwise have been possible.
Current Vassar employees with a part-time academic year schedule are encouraged to apply. This part-time position will begin in February with 2-5 hours/week and will require an increasing commitment from mid-May to July. When combined with current assignment, it is preferred that scheduled hours not exceed 37.5 hours / week. This assignment is not expected to exceed 20 hours/week in June and July.
Responsibilities:
  • Create Google Drive folders for student applicants and organize student application materials for Committee review. Track admitted student reply form responses.
  • Plan and setup admissions committee meeting, reserve meeting space and order catering .
  • Enter student applicant information and decisions into program database, Filemaker.
  • Email program alumni job postings for counselor positions (Teaching Assistants and Residential Fellows)
  • Assist director and ET administrators in scheduling interviews for student and counselor applicants.
  • Update counselor positions in JobX for student employment.
  • Order various program supplies, including books.
  • Coordinate faculty and counselor housing needs with Program Manager in Campus Activities.
  • Use EMS software to request rooms/spaces on campus.
  • Assist with the planning of a number of catered events (e.g. workshops, opening reception, barbeque and closing ceremony). Attendance is required for some events.
  • Process invoices and reimbursements in Workday and assist with reconciling credit card transactions.
  • Perform other duties as necessary.
Qualifications
  • Clerical or administrative support experience; current Vassar College experience is strongly preferred.
  • Requires strong computer skills, including Microsoft Word, Excel, and Filemaker Pro (preferred).
  • Excellent written and verbal communication skills and a pleasant telephone manner.
  • Ability to interact effectively with a diverse community of faculty, students, staff and other community members.
  • Professional, problem-solving demeanor; good judgment and discretion;
  • Demonstrated ability to work independently; strong organizational skills; and the ability to effectively manage deadlines and multiple, competing priorities.
  • Must be detail-oriented and have a high level of accuracy.
  • Must be reliable and able to maintain confidentiality.
