HR Assistant

Recruitment

1. Assist in posting job advertisements on various platforms such as job boards, social media, and recruitment portals.

2. Screen resumes and shortlist potential candidates based on pre-set criteria.

3. Coordinate and schedule interviews between candidates and hiring managers.

4. Assist in conducting reference checks and preparing employment offer documents.

5. Maintain and update recruitment databases and track hiring progress for reporting.

6. Support in preparing recruitment analytics and reports for the HR Executive.

7. Liaise with external recruitment agencies and job fair organisers as directed.

8. Assist in updating and maintaining salary benchmark reports and market insights.


Onboarding

1. Prepare and organise onboarding documents, including contracts & necessary paperwork.

2. Conduct thorough orientation sessions to familiarise new employees with company policies, procedures, safety protocols, and emergency procedures, ensuring compliance with Singaporean workplace health and safety regulations.

3. Assist in ensuring that all required paperwork is completed and filed in compliance with PDPA (Personal Data Protection Act) regulations.

4. Help in monitoring new hire progress during the probation period and compile feedback for the HR Executive.

5. Maintain an up-to-date onboarding checklist to streamline processes.

6. Gather feedback from new hires to assist in enhancing the onboarding experience.


Training & Development

1. Assist in identifying training needs within the organisation through skills assessments and feedback mechanisms.

2. Support in developing and implementing training programmes to address skill gaps and enhance employee competencies, in alignment with the SkillsFuture Framework and industry-specific standards.

3. Coordinate and conduct internal training sessions, workshops, and awareness programmes for employees, ensuring effective delivery of key HR policies, procedures, and initiatives. Collaborate with external providers for specialised training while managing logistics and participation.

4. Maintain training records and assist in tracking compliance with Workforce Skills Qualifications (WSQ), Continuing Education and Training (CET) requirements, and other accreditation standards.

5. Assist in gathering and compiling training feedback and reports for evaluation, ensuring continuous improvement in training programmes.

6. Provide administrative support in collaborating with HR colleagues, department managers, and senior management to align training and development efforts with organisational priorities, succession planning goals, and talent retention strategies.

7. Support the HR Executive in working with hiring managers to draft job descriptions that accurately reflect job requirements.


HR Administration

1. Maintain and update HR databases, personnel records, and documentation in compliance with PDPA regulations.

2. Generate HR reports and analytics related to recruitment and training.

3. Assist in monitoring and tracking key HR metrics (e.g., time-to-fill, cost-per-hire, training ROI).

4. Support the HR Executive in coordinating HR projects and initiatives.

5. Assist in the preparation of internal HR communications and announcements.

6. Provide general administrative support, such as document preparation, data entry, and meeting coordination.


JOB REQUIREMENTS

1. Polytechnic Diploma or ITE Certificate in Human Resources, Business Administration, or a related field.

2. No prior experience required; fresh graduates or candidates with relevant internships are welcome.

3. Strong understanding of recruitment techniques and best practices.

4. Excellent communication and interpersonal skills.

5. Ability to prioritize tasks and work in a fast-paced environment.

6. Detail-oriented with a high level of accuracy.

7. Ability to maintain confidentiality and handle sensitive information with discretion.

8. Strong analytical and problem-solving skills.

9. Team player with a collaborative mindset.

10. Proficiency in MS Office and HRIS software.
