DEPARTMENT OF SOCIAL WORK, NATIONAL UNIVERSITY OF SINGAPORE
We are seeking a highly organized, proactive, and professional Executive to support the Department in the management of the Undergraduate Studies Programme which includes course registration, data preparation, exam logistics, student enquiries and general office administration. Duties and Responsibilities
Manage yearly data preparation for course registration and administer course registration appeals and enrolment processes
Lead in the delivery and coordination of teaching timetables for undergraduate programmes in collaboration with academic departments and administrative units.
Ensure accurate input of teaching activities, room bookings, and staff allocations into the university's timetabling system.
Monitor and resolve timetabling conflicts and make adjustments to accommodate staffing, space, or student cohort changes.
Liaise with faculties and central services to ensure timely publication of final timetables to students and staff.
Manage the organization and logistics of undergraduate examinations, including venue booking, invigilation planning, and timetable processing
Coordinate the submission, formatting, and secure handling of examination papers and assessment materials
Liaise with the Exams Office, Registry, and academic departments to ensure alignment with institutional assessment policies and deadlines.
Support the approval and implementation of new programmes or course changes through appropriate governance channels.
Act as the key contact for academic staff, administrative teams, and students on matters related to Social Work studies
Communicate deadlines, procedures, and updates clearly to all relevant stakeholders.
Provide training and guidance to departmental staff on the use of timetabling and data systems where needed.
Assist with student exchange programme applications, social service agency visits and contribute to quarterly management reports
Support the office general administration for consumables, equipment and teaching facilities for onboarding of faculty, visiting staff and office operations
Any other duties as required by the Department
Qualifications
A Bachelor’s Degree with at least two to three years’ of working experience
Proven experience in an academic or corporate environment is advantageous
Excellent organizational and time management skills with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
A good team player who demonstrates commitment to the team’s success
Good level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and show initiative
Professional demeanor and a strong commitment to customer service.
