About The Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This individual will be responsible for providing essential administrative support to our tax preparation and compliance processes, while also managing office operations. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment.

Responsibilities

  • Tax Preparation Support:
    • Process tax organizers and tax engagement letters.
    • Initiate new tax preparation matters and assist with client onboarding in accordance with established procedures.
    • Collect initial information and documentation from clients to begin the tax preparation process.
    • Maintain a client tracking system for tax-related matters and documents.
    • Prioritize tax tasks based on deadlines and client needs.
  • Office Administration:
    • Ensure confidential documents are securely shredded according to company policies.
    • Sort, distribute, and process incoming and outgoing mail/packages accurately and promptly.
    • Scan and digitize documents as needed, ensuring organized and up-to-date electronic records.
  • Customer Interaction:
    • Welcome visitors with professionalism and a friendly demeanor, ensuring they feel comfortable and attended to.
    • Answer incoming calls promptly and professionally, directing them to the appropriate staff or taking messages when necessary.
  • Cross-Department Collaboration:
    • Collaborate with various departments to ensure efficient workflow and effective administrative processes.
    • Provide support to the administrative department in a manner that maximizes efficiency, resources, and client satisfaction.
Preferred Qualifications

  • High school diploma or equivalent (required).
  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in Google Workspace (Docs, Sheets, etc.).
  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • High attention to detail and accuracy in task execution.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Professional and courteous demeanor when interacting with clients, visitors, and staff.

Additional Information

  • Schedule: Full-time
  • Salary Range: $20 - $22 per hour
  • Location: On-site in Skokie, IL
  • FLSA Status: Non-exempt
